Choose not-for-profit accounting software around the client’s records: Manager for simple single-user books, Xero for shared bookkeeping, MYOB for payroll-led operations and NetSuite for complex restricted funds. Grant conditions matter more than a charity label on the software.
Match NFP Software to the Client’s Work
A small volunteer-run organisation needs different software from a charity managing overlapping grants and a paid workforce. Start with the number of people maintaining the books and the reports each funder requires.
Manager Desktop suits a small organisation with one treasurer and straightforward receipts and payments. It fits when simultaneous accountant access is unnecessary. Its desktop edition is permanently free. Manager documents bank reconciliation and divisions for separating financial activity. The practice receives a backup file instead of working alongside the treasurer in the same online file.
Xero suits a client whose treasurer and accountant need shared online books with bank reconciliation and Australian payroll. Use tracking categories for modest grant reporting and retain a separate grant register for restrictions. Xero permits two active tracking categories, so a client needing independent fund, programme and location dimensions can outgrow that arrangement.
MYOB Business Pro suits payroll-led operations needing timesheets and job-level income and expenses. Payroll carries a charge for each employee. AccountRight Plus includes unlimited payroll in its subscription, making it a separate candidate when employee numbers grow. Choose between those named products using the required payroll and job reports, rather than treating every MYOB plan as interchangeable.
Oracle NetSuite suits a larger grant-heavy organisation needing fund and donor-restriction segments in the financial records. Its nonprofit accounting includes grant oversight and donor tracking. Budget for implementation and a configured reporting model. Australian payroll and the organisation’s accounting-standard presentation need their own implementation scope.
Compare the Operating Requirements
| Client need | Candidate | Basis for the recommendation | Work retained outside the package |
|---|---|---|---|
| One treasurer, simple activity | Manager Desktop | Free single-user books with bank reconciliation | Backup handover and a grant register |
| Shared bookkeeping, modest grants | Xero Grow or Comprehensive | Online accounting with payroll allowances | Grant conditions and approval evidence |
| Timesheets and a growing workforce | MYOB Business Pro or AccountRight Plus | Australian payroll and job reporting | Employer concession assessment and grant register |
| Several restricted funds and complex reporting | NetSuite nonprofit configuration | Fund, programme and restriction segments | Australian configuration and agreed grant-report design |
The best accounting software for a not-for-profit changes when the client needs another reporting dimension, payroll arrangement or approval record. A grant-heavy organisation can retain mainstream bookkeeping while its grant register remains manageable and reconciles reliably.
Separate Grants and Restricted Funds
Project tracking shows which activity received income or incurred a cost. Restricted-fund records also explain how money can be used and what remains available under each agreement.
A job code alone does not capture the grant period or authorise an expense. Keep the signed agreement, eligible expenditure rules, reporting milestones, approved variations and unspent balance against a grant identifier. Record who approves allocations and any return of funds.
Use the ACNC’s National Standard Chart of Accounts as a starting point for consistent account names. Grant and donation recognition still depends on the applicable accounting requirements. Restricted cash and deferred revenue are different concepts, so a restriction alone does not determine the journal.
Follow a Restricted Grant Through the Records
This fictional example isolates cash allocation. Assume no GST applies to the example transactions and that the accountant assesses revenue recognition separately.
An organisation receives a $24,000 grant for a six-month programme and an unrestricted donation of $3,000. It pays $8,000 of eligible direct programme costs and a $2,000 shared administration bill. The grant permits half that administration bill to be allocated to the programme.
| Event | Bookkeeping allocation | Supporting record | Grant cash remaining |
|---|---|---|---|
| Receive grant | Bank receipt with the grant identifier and assessed account treatment | Agreement and grant register opening entry | $24,000 |
| Receive donation | Separate unrestricted donation receipt | Donor reference and receipt record | $24,000 |
| Pay direct costs | $8,000 to the programme’s expense codes | Supplier documents and spending approval | $16,000 |
| Pay shared bill | $1,000 to the grant and $1,000 to unrestricted activity | Approved allocation basis and split transaction | $15,000 |
The unrestricted donation has $2,000 left after its share of administration. Combined cash is $17,000, while only $15,000 belongs to the grant. Neither figure establishes the grant’s recognised revenue or any liability.
In Xero, apply tracking to the relevant transaction lines. In MYOB, split a transaction into separate lines where different jobs apply. A NetSuite configuration can carry fund and restriction segments. In every case, reconcile the grant report to the register and preserve the allocation evidence.
Handle Donations and Charity Records
Donation records must connect the donor’s payment to the receipt and the bank deposit. A payment receipt from accounting software does not establish deductible gift recipient (DGR) status.
MYOB supports online invoice payments with automatic emailed payment receipts. Those are useful collection records, but the charity must use receipt wording appropriate to the transaction. Xero’s bank reconciliation supports matching receipts to bank activity. Manager’s bank reconciliation can support a small organisation’s manual receipt register. NetSuite combines donor tracking with its nonprofit financial records.
Separate genuine donations from membership fees and event purchases. The ACNC’s DGR guidance explains that charity registration and DGR endorsement are different. Confirm the recipient’s relevant endorsement before marking a receipt as tax deductible.
Use donor-management software when the organisation needs campaign history, recurring-gift management or donor communications beyond the accounting records. Keep a stable donor identifier and a receipt reference in the handover. Give the accountant access to financial records without unnecessarily sharing donor marketing information.
A spreadsheet uploaded to the accounting package is an import. A connector is a separate link that transfers defined records between products. Call something a native integration only when the provider documents that relationship. For any connector, establish which product owns receipts and how refunds or failed payments reach the books.
Reconcile gross gifts, processing fees, refunds and the net bank settlement separately. Otherwise, a net deposit can understate donations or leave the receipt register inconsistent with the accounts.
Check Australian Payroll Requirements
Choose the payroll arrangement before comparing subscription costs. Employee numbers and reporting requirements can change the preferred accounting plan.
Xero’s Australian payroll supports Single Touch Payroll (STP), superannuation and employee records. Grow includes payroll for two people, Comprehensive for five and Ultimate has larger allowances. Expenses and Projects user allowances are separate from ordinary accounting access.
MYOB Business Pro supports payroll for unlimited employees with a charge for each employee. AccountRight Plus includes unlimited payroll. MYOB’s Australian payroll includes STP and superannuation, while MYOB Team supports timesheets and employee self-service. Confirm the selected product produces the job allocation the client needs for grant-funded wages.
Manager’s payslip guide describes earnings, deductions and contributions, including records maintained by an external payroll processor. A payslip feature alone is insufficient evidence of Australian STP reporting. For an organisation choosing Manager for its books, scope an Australian payroll service separately. Reconcile its wages and liability journals back to the payroll reports.
For NetSuite, include Australian payroll delivery in the implementation specification. Fund accounting functionality does not by itself establish an Australian payroll solution.
Keep volunteer reimbursement evidence separately from employee pay records. Assess a worker’s actual arrangement before treating a payment as a volunteer allowance. A volunteer label in a contact record does not determine the tax treatment.
Salary packaging also needs entity-specific setup. The ACNC’s charity tax concession guidance distinguishes available concessions and the ATO’s endorsement role. Confirm the employer’s concession category before configuring deductions and reportable benefits. Test the agreed arrangement against payslips and payroll reports, including superannuation treatment and any packaging-provider journal.
Compare Free Plans With Charity Discounts
A free desktop edition, a temporary trial and an approved software donation create different ongoing commitments. Compare them over the same operating period after introductory promotions end.
Compare the Licence Arrangements
| Arrangement | What the client receives | Eligibility or limit | Costs outside that arrangement |
|---|---|---|---|
| Manager Desktop | Permanently free accounting software | Single-user desktop access | Backup administration, support and any separate Australian payroll |
| Xero nonprofit discount | A discounted paid business subscription | Registered NFP status verified by Xero | Required plan, usage above included allowances and separate apps |
| MYOB Business Pro trial | Temporary access before a paid subscription | The advertised trial lasts 14 days | Ongoing subscription, employee charges and payment services |
| NetSuite Social Impact | Base-software donation and no-cost activation through its programme | Programme assessment and agreed donation scope | Additional users or modules, implementation work and ongoing services outside the donation |
Xero advertises a 25% nonprofit discount after confirming status. Its Australian business subscriptions renew monthly and the published amounts include GST. Ordinary accounting access has no per-user licence fee, but payroll, Expenses and Projects have separate included allowances. Compare the client’s required plan after the charity discount, with any additional usage included.
MYOB’s Australian comparison lists unlimited user profiles for Business Pro and AccountRight Plus. Compare a monthly subscription with payroll on the same employee count. Pro adds employee charges, while Plus includes payroll. Keep online payment charges and any required reporting app in the annual operating budget.
For NetSuite, request an Australian quote that identifies the core software, modules and named users. Its standard licence model is annual and includes a separate implementation fee. The Social Impact donation needs an itemised scope so the client can distinguish donated access from chargeable services. Record currency, GST and renewal terms in the proposal before comparing it with monthly products.
Use the same organisation, accounting users and paid workforce for every proposal. Compare a full year, separate GST from the cash total and show any eligible GST credits independently. Include migration, training and the time required to maintain grant records outside the software.
Free software stops being the lower-effort choice when the practice must rebuild restricted-fund history at every reporting period. Conversely, a small organisation can keep free single-user books when its grant register and backup handover remain complete.
Prove the Accountant Handoff
Approve a change only when the records needed for the next reporting period survive the handover. Run the following acceptance check using the client’s agreed migration scope and retained source documents.
Check the Records You Can Retain
| Record | Check | Observable pass condition |
|---|---|---|
| Trial balance | Compare old closing balances with new opening balances | Every mapped account agrees and debits equal credits |
| Grant allocation report | Trace the fictional example or an agreed client sample | Grant receipts and costs reconcile, with the unspent balance explained |
| Bank reconciliation | Match the statement to the cash balance and outstanding items | The reconciliation difference is zero and every outstanding item is identifiable |
| Payroll summary | Compare gross wages, withholding, superannuation and net pay with postings | Each total agrees with the corresponding accounts and employee records |
| Document export | Open retained agreements, receipts and supplier documents outside the original subscription | Documents are readable and their transaction or grant references remain traceable |
Xero’s export guidance requires exports from separate areas and reports. Adviser access covers most reports, while payroll reports require payroll admin access. MYOB supports report exports and import templates. A Manager backup preserves a transferable accounting file. Agree the required NetSuite reports and document retrieval with the implementation scope.
Keep the original trial balance and account mapping with the migration records. Carry each open grant’s original amount, spending to date, remaining restrictions and approved variations into the new register. Retain historical reports and source documents even when the new package imports opening balances only.
Bookkeeping software supplies transactions and supporting records. Final accounts and disclosures can require separate financial reporting software. The client’s reporting framework and assurance requirements belong in the practice’s not-for-profit financial reporting assessment.
Choose the package whose retained records pass the handoff checks. Keep the old records accessible until the new opening balances and restricted-fund history agree.
One client form. One finished return.
Your client completes one guided form. Tax Genie checks it, chases mistakes and sends the details to your engagement letter and tax software.
