Best Bookkeeping Software for Accountants 2026

Choose bookkeeping software your practice can review. Compare free and paid client ledgers by GST records, access, reconciliation and export.

Updated

Xero is the best bookkeeping software for Australian practices managing small-business client files. Bank reconciliation, GST records and adviser access let your team prepare and review the same books without passing spreadsheets between people.

Other ledgers earn their place when your client already uses them, needs a usable free tier or has different staff-access requirements. The decision includes the records you can keep when the engagement ends.

Top Bookkeeping Software for Your Client Files

Compare small business accounting software by the ledger work your practice must review in each client file. Look for source evidence behind entries, correct GST records and completed reconciliations, with named reviewer access and exports you can retain.

1. Xero

Xero ranks first for a practice that wants the client and bookkeeper working in one online ledger. It brings bank transactions beside invoices and bills, with GST reporting and document capture. That gives the reviewer a route from the recorded entry back to its evidence.

The adviser role matters more than simply adding another login. Xero’s role documentation gives advisers access to the History and Notes Activity report. Allocate that role deliberately, so the person reviewing corrections can see the history they need. Reports can be exported for the retained client file.

The entry plan’s invoice limits can make it unsuitable for a client who raises many invoices. Payroll and other included allowances also change the cost. Xero has no per-user licence fee for ordinary accounting access, but extras and some bank connections can incur charges. Keep stock or sales-system totals reconciled to the ledger instead of assuming a connection proves completeness.

2. MYOB Business

MYOB Business ranks second, particularly when the client already keeps reliable books in MYOB. Its browser products cover invoices, receipts and GST records with bank matching. An adviser invitation gives your accountant or bookkeeper access through their own MYOB account.

Lite suits simpler files within its connected-bank-account limit. Pro supports more connected accounts, while AccountRight serves files with broader inventory or job requirements. These are different editions. Choose the edition around the actual client file, including the features staff need in the browser.

MYOB’s Journal security audit report shows transaction changes, and reports export to Excel or PDF. Those records help a reviewer trace a correction and retain the period’s work. AccountRight’s installed application requires Windows, and its latest PC edition uses online files. A client needing dependable offline work needs a different decision from one needing browser access on a Mac.

3. QuickBooks Online

QuickBooks Online ranks third for small-business files where client invoicing and the practice’s accountant access need to sit together. The Australian product covers income, expenses and GST tracking. It also provides bank connections and receipt capture for the evidence behind entries.

Plan selection turns on who works in the file. Simple Start includes one business user plus accountant access. Higher plans increase business-user capacity and add functions. A client with several staff entering transactions needs that distinction resolved before the practice agrees its division of work.

The audit log helps trace changes, and reconciliation reports record completed reconciliations. Reports and lists export separately from attachments, so one spreadsheet download is not a complete handover. Keep the client’s sales and payment-system records beside the ledger when deposits combine several transactions. The QuickBooks bookkeeping guide covers the recurring work after you choose it.

4. Zoho Books

Zoho Books ranks fourth for smaller files whose needs match its Australian edition and plan limits. It records invoices and expenses, tracks GST and generates BAS reports. Accountant access and statement reconciliation make it a ledger option beyond standalone invoicing.

Its Free plan includes one user and one accountant, with revenue eligibility and annual transaction limits. It supports bank-statement imports, while connected bank feeds are listed on Standard. Standard also adds transaction locking. That difference matters when your practice wants to close a reviewed period or stop importing statements manually.

Zoho’s Australian plan table includes report exports and tiered support. Paid plans add staff capacity and more specialised functions. It ranks below the broader default choices because those gates can change the working arrangement as a client grows. It is a stronger fit when your client already uses Zoho and the required sales or expense records can stay together.

A Client Ledger Your Practice Can Review

Bookkeeping software records a business’s transactions and the balances those transactions create. A double-entry ledger records both sides of each entry, so the bank movement connects to an expense, asset, liability or other account.

Wider accounting work includes interpreting those balances and preparing financial statements. Standalone invoicing records sales and amounts owed. Practice management organises the firm’s jobs, time and billing, while tax-return software prepares the return. The accounting firm tech stack guide places those neighbouring tools around the client ledger.

A spreadsheet stops being a reliable working record when staff cannot trace edits, separate client entities or reproduce a bank reconciliation. The trigger can be several people changing the same file, even with few transactions. A ledger gives the team a shared record, but permissions and review still need owners.

A Fictional Purchase Through Review

Consider an invented GST-registered service business buying office supplies for $220, including $20 GST. The supplier provides a valid tax invoice, and the purchase is wholly for the business. These are example facts, not a claim about an actual client.

Point in the fileEvidence and entryResponsible roleException status
Invoice receivedSupplier invoice attached, with supplier details and purchase descriptionPreparer A, using an individual staff accountBusiness purpose confirmed by the client
Bank line arrives$220 payment matched to the existing $220 purchasePreparer ANo second purchase created from the bank line
Entry checked$200 expense and $20 GST credit reviewed against the invoiceReviewer B, using a separate accountGST treatment and reporting basis checked
Period acceptedStatement reconciled and report retained with review noteReviewer BOpen exceptions listed separately with an owner

If the invoice is missing, the reviewer leaves the GST question unresolved until the evidence supports the claim. The ATO’s GST record requirements cover the transactions and calculations behind reported amounts. A bank description alone does not explain the purchase’s GST treatment.

Keep each client entity in its own organisation or company file. One client owning several businesses does not make their bank accounts or GST registrations interchangeable. Give preparers transaction access and give reviewers the reports and history required for their work. Limit administration rights to the people managing access.

In a white-label bookkeeping arrangement, record which practice engages the client and which authorised team prepares the books. Branding on an invoice does not determine subscription ownership or permission to see another client’s file. Preserve the actual preparer’s identity in the work record.

Tax Genie handles the client form and engagement work before and around that ledger work. Rules and AI check answers, Tax Genie follows up missing information and prepares the engagement letter. Approved client details go into your tax software. The transaction ledger remains the record used for bookkeeping and reconciliation.

Free Bookkeeping Software Limits

Free bookkeeping software is useful when its permanent limits cover the client’s work and the practice’s access. A trial expires, while a free tier continues only within its stated eligibility and feature limits.

Zoho Books Free is a usable Australian ledger tier for businesses with annual revenue below $50,000. Its published limits include 1,000 invoices and 1,000 expenses annually. The one-user-plus-accountant allowance suits a simple client arrangement, but cannot accommodate a wider team on those terms.

Paid entry ledgerCapture allowances and GST functions depend on the editionInvoice limits or connected-bank limits can force a higher planNamed access, review functions and exports must cover the engagement

Manager.io’s free Desktop edition runs locally on Windows, Mac or Linux. The vendor distinguishes it from paid multi-user cloud access. Backups can move between operating systems, but the client and practice must avoid changing different copies. Its single-user design makes it a narrower option for collaborative practice work.

The actual Microsoft spreadsheet product is Excel. A cashbook template can record a simple client’s transactions, but formulas and supporting documents need their own review. Creating an invoice tab does not create a double-entry ledger. Treat missing access records or reconciliation evidence as a reason to move to a ledger.

Microsoft also has Dynamics 365 Business Central, a separate business-management product with Australian local functionality. It is a different purchase and implementation from an Excel template. Do not infer its Australian GST functions from a generic overseas VAT page.

For Zoho, automated bank connections, transaction locking and extra staff are concrete reasons to move beyond Free. Across paid ledgers, a free trial does not remove the later subscription or the work needed to export records.

The Software Fit for Each Business Client

Choose the ledger around how the business earns money and proves its expenses. Business size alone leaves out the transactions that make a file difficult to review.

A sole trader, self-employed freelancer or home-based business often needs invoices, expense evidence and separation of business and private spending. A contractor can also need deposits, progress invoices or retention records. A startup with foreign suppliers needs its currency and payment records assessed before choosing an entry plan.

GST registration changes the records needed. A client who is not registered must not simply copy the GST treatment of a registered business. Keep the client’s status and reporting basis in the setup record, then apply the correct treatment to each supply or purchase.

Client Transactions That Change the Choice

Fictional client typeRecord that changes the decisionSoftware consequence
Retail businessStock purchases, sales and returnsConnect stock quantities and cost records to ledger totals
Ecommerce sellerGross sales, refunds, fees and net settlementsRetain settlement detail and reconcile the clearing account
FarmSeasonal receipts, livestock or crop records and equipmentKeep the relevant industry records beside the financial ledger

Cemetery operatorLong-running obligations and amounts set aside for future workUse records that preserve each obligation and any required restricted funds
Real-estate or property managerRent received for owners and client-money movementsUse the required trust or client-money system, with the business ledger recording the operator’s own activity

An ordinary ledger recommendation does not establish suitability for regulated trust money or restricted funds. Keep specialised registers and required reconciliations in the system that supports those obligations. The nonprofit accounting software comparison addresses fund-level requirements in more detail.

Sage’s relevant Australian offering here is Sage Intacct, a cloud financial system for growing organisations. Multi-entity accounting and consolidations make it relevant when a client outgrows a small-business ledger. Implementation needs a certified partner, so it is outside the simple starter shortlist.

Sage Intacct’s tax documentation includes Australian BAS calculation through Sage Regulatory Reporting. User permissions determine practitioner access, and its audit trail can export to CSV, Excel or PDF. Scope the required tax configuration and reports into implementation alongside opening balances. Zoho Books is the smaller-client option here, with Australian GST records and exports subject to the selected tier.

Cloud Access and Mac Compatibility

Cloud ledgers let the client and practice open the same file through a supported browser. Xero, QuickBooks Online, Zoho Books and MYOB Business suit that arrangement on a Mac. Bank connections still depend on the actual institution and account type.

An internet outage can interrupt entry and review even when a mobile app is installed. A desktop icon does not establish offline bookkeeping. MYOB’s latest AccountRight PC edition works with online files, and its installed application uses Windows. Its temporary Server Edition route is a transition option, not a durable offline recommendation.

Manager.io Desktop is a local alternative when one person works offline and manages backups. That trades live shared access for responsibility over the current file. Give the reviewer an identified backup version and record when the client can resume editing.

Keep the client and each practice staff member on separate named accounts. Record whether the client or practice is the subscriber, who may transfer billing and who can invite staff. A client-held subscription usually makes a change of accountant simpler. Practice-held billing needs a documented transfer arrangement before work begins.

Automation Before You Accept an Entry

Automation can prepare an entry, but acceptance requires evidence and a completed reconciliation. A bank rule applies a repeatable instruction. A recurring entry creates scheduled records, while capture software reads documents and matching connects a payment to an existing transaction.

AI suggestions infer a category or GST treatment from the available information. That is different from a rule the practice deliberately set. Review the source and the transaction’s purpose before accepting a suggestion that changes GST or the accounts.

Exceptions in a Fictional Review

ExceptionIncorrect acceptanceReviewer’s resolution
Duplicate receiptPosting both the uploaded receipt and an existing bill as expensesIdentify the original entry, attach evidence there and remove the duplicate through the ledger’s correction procedure
Wrong suggested GST codeClaiming GST on a purchase from a supplier who did not charge itCheck the invoice and correct the GST code before accepting the entry
Unmatched settlementRecording a net payout as the full sales figureReconcile gross sales less refunds and fees to the payout, with timing differences carried in the clearing account

A connected bank feed supplies statement lines. A completed reconciliation explains how the ledger balance agrees to the independent statement, including outstanding items. Duplicate imports or missing statement periods can leave the feed connected while the reconciliation is wrong.

Built-In Matching or a Separate Reconciliation Product

Review needBuilt-in ledger matchingDedicated product or add-on
Statement importsBrings supported statement files or bank connections into the working ledgerMust preserve source periods and identify which lines already reached the ledger
ExceptionsMatches ledger entries and leaves differences for investigationCan organise larger exception queues, subject to its documented functions
Duplicate preventionRequires care when bank imports overlap or capture creates another entryNeeds stable identifiers and checks before writing entries back
Period approvalReconciliation reports and available locking support the practice’s sign-offNeeds a clear approval record separate from a successful data sync
Retained evidenceExport the reconciliation and supporting transaction reportsExport both the exceptions and the result, so review remains possible after cancellation

Start with the ledger’s built-in reconciliation for ordinary small-business files. A separate product earns its cost when the volume or complexity of exceptions exceeds that workflow. A connector that imports transactions alone does not complete period approval.

Choosing a receipt capture app is a separate decision about getting source documents into the file. It does not decide which ledger holds the accepted transactions.

The Full Cost and Support You Need

The best-value plan covers the client files and staff who must finish the work. Add required bank connections and document-capture allowances, then include payroll, stock or other necessary extras. Compare the ongoing arrangement after an introductory offer ends.

Xero’s ordinary accounting access avoids a per-user licence fee, but included allowances and usage charges still matter. QuickBooks increases business-user capacity by plan. MYOB changes connected-bank capacity between Lite and Pro. Zoho changes user capacity, bank connections and transaction locking across tiers.

For several client entities, count the organisations or company files that need subscriptions. Also allow for training and the person who resolves a failed connection. Cheap bookkeeping software becomes poor value if your team repeatedly rebuilds the same reconciliation outside it.

Judge ease of use through the work that must be completed. A client must issue the right invoice, apply a credit note and match a part-payment. Your preparer must attach evidence and correct a duplicate. The reviewer must understand the history and recover a period after a mistaken entry.

Software reviews help most when they describe those tasks in the Australian edition. A star rating does not establish reliable bank connections or useful support for your client’s setup. Compare the support route included in the plan and whether your team needs help during its working hours. Zoho Free lists email support, while paid tiers add voice and chat.

An invoice-to-receipt job starts with a sale, records what the customer owes and applies payment against that balance. Refunds and credit notes must reduce the right amounts. A basic invoicing product stops short when the practice also needs supplier liabilities, GST records and a complete bank reconciliation.

Keep the Client’s Records When You Leave

Export the client’s working records before subscription access changes. Keep the transaction detail with its GST codes and chart of accounts, then retain the source attachments separately where the export omits them.

The handover also needs opening and closing balances, outstanding invoices and bills, bank statements and reconciliation reports. Include the GST/BAS reports, adjustment explanations and available transaction history. Record unresolved exceptions with their owner and the next action.

Cancellation access differs. Xero’s cancellation guidance says its cancelled organisation cannot be accessed and it has no read-only plan. QuickBooks documents one year of read-only access for a cancelled single subscription. MYOB documents a limited read-only period for cancelled online AccountRight files. Those periods are not a substitute for a retained export.

The ATO generally requires GST records for five years from the later relevant event, with longer retention where needed for review. A vendor’s cancellation window does not determine that obligation. Preserve records in a readable format with enough detail to explain the reported amounts.

Before removing access, confirm the client or incoming accountant can open the retained records and reconcile the closing bank balances. Transfer subscription responsibility where agreed, remove departing staff and disconnect obsolete integrations. The next accountant receives named access and an exceptions list, without using the previous preparer’s password.

One client form. One finished return.

Your client completes one guided form. Tax Genie checks it, chases mistakes and sends the details to your engagement letter and tax software.
