How Tax Genie protects Tax File Numbers
Tax File Numbers come with specific rules. This page says plainly what Tax Genie does with one, so you can check it against your own obligations instead of taking our word for it.
Encrypted before it is stored
A TFN is encrypted as it is submitted, and only the encrypted value is kept. There is no plain-text TFN in the database at any point, and no way to read one back without going through the audited path below.
Every view is logged
In the dashboard a TFN is masked. Revealing one requires a signed-in staff member, and every reveal writes a record of who viewed which client’s TFN and when. That record shows who saw what, and when.
Never in an email, an export, or a document
TFNs are left out of every email Tax Genie sends, including the ones that chase a fix, out of CSV and PDF exports, and out of the engagement letter. The Tax Practitioners Board advises against sending TFNs by email. Tax Genie does not put them there in the first place.
Collected the way the rule requires
The Privacy (Tax File Number) Rule 2015 governs how a registered tax agent may collect a TFN. The intake form states why the TFN is being collected, and tells the client that declining to quote one is not an offence. A client who would rather not type a TFN into a form can say so, and you collect it another way.
Stored in the cloud, and disclosed up front
Tax Genie runs on cloud infrastructure, and the intake form asks each client to consent to that before they submit. That disclosure is what the Tax Practitioners Board expects before client information is held by a third-party provider, and it is better said up front than found out later.
