A receipt capture app suits your practice when clients can send complete documents and staff can check them before they reach the accounts. Start with capture included in the client’s accounting subscription, then add dedicated collection software when the workload needs it.
Receipt Capture Apps by Client Workload
Choose an existing accounting arrangement for straightforward records in one organisation, or a separate collection service for clients with several document channels.
Xero Smart Document Capture
Xero Smart Document Capture works inside the client’s Xero organisation. Clients upload documents or photograph receipts in the Xero Accounting app. Staff review extracted details beside the original, then attach the file to an existing transaction or create a transaction from it.
This suits a client whose practice already works in Xero and needs a receipt upload app without another collection subscription. The Documents area supports upload permissions that restrict what staff can see. Keep transaction approval with the reviewer who understands the client’s accounts.
Smart Document Capture is included in Xero business subscriptions. Its extraction accepts PDF, JPG and PNG files below 25MB, with up to 10 pages. The accounting plan’s transaction limits still apply.
Hubdoc
Hubdoc gives each client organisation a separate collection area. A client can photograph receipts, forward attachments to its unique email address or upload files from a computer. Staff review documents there before publishing through a direct Xero or QuickBooks Online connection, with source documents attached.
Use this arrangement when emailed supplier bills and phone receipts need one inbox before staff enter the accounts. Upload-only users see their own documents. Publishing permission is separate, and Xero roles do not automatically carry across to Hubdoc.
Hubdoc is included with a connected Xero business plan. Its standalone arrangement is a separate monthly subscription, while eligible accountants and bookkeepers have a free practice account. That practice entitlement does not make every client organisation free. Hubdoc advertises unlimited storage, but uploading or emailing documents for extraction has a limit of 1,000 per organisation in 24 hours.
Dext
Dext collects receipts and supplier documents across client accounts for practice review. Clients can use mobile photos, email or desktop uploads. Dext can also fetch invoices from supported suppliers. Staff inspect extracted fields and the source image before publishing to connected accounting software, including Xero and QuickBooks Online.
Dext suits a practice handling mixed sources across several clients, especially when staff must request paperwork for unmatched bank transactions. An accountant or bookkeeper can send a request to a client user who has signed in to the mobile app. The recipient uploads the missing record there. Staff can export a request report for someone who does not use the app.
Dext’s Australian partner arrangement charges per client. The displayed annual subscription is billed monthly, excludes GST and has a ten-client minimum. Heavier extraction jobs use credits, so a practice processing supplier statements or detailed line items needs an allowance matching that work. A trial is temporary access, not an ongoing free plan.
Match the Capture Route to Client Habits
Use the channels clients already use, with a separate destination for each entity. A clear receipt photo is useful only when the reviewer knows whose purchase it was and why it belongs in the business accounts.
Phone capture suits purchases made away from a desk. Emailed supplier invoices suit an office administrator who receives the original PDF. Batch uploads suit a client handing over accumulated paperwork, provided each file contains a complete record. Keep multi-page invoices together, including the page that shows the GST total.
Hubdoc accepts up to 50 single-sided documents in one web upload or email batch. Splitting a PDF into separate documents suits a scan containing unrelated receipts. Splitting the pages of one supplier invoice can leave staff with incomplete records. Dext also supports several collection channels, while Xero’s built-in capture keeps the document within the selected organisation.
Low-Volume Client Example
In this fictional example, a sole trader sends eight receipt photos each month through the Xero Accounting app. The client adds the business purpose where it is unclear. The practice reviewer receives the images in that client’s organisation, checks them and matches purchases already recorded through the bank.
An included capture arrangement meets this workload if the client supplies complete images and the accounting plan accommodates the transactions. The practice records who follows up the occasional missing receipt.
Mixed-Source Client Example
A fictional company has field staff photographing purchases, an administrator forwarding supplier PDFs and a director supplying occasional personally paid expenses. Dext gives the practice a collection arrangement for those sources. The reviewer separates purchases paid by the company from reimbursements owed to the director.
The same director also acts for a trust. Its records go to a separate client account, with access limited to the people working on that entity. Staff return personal documents for clarification instead of allocating them to whichever organisation is open. A cropped image goes back to the sender for a complete replacement.
Agree these responsibilities in your bookkeeping client onboarding checklist so the client knows who sends each record and who answers questions.
Review Australian GST Records Before Publishing
Check the document and the business facts before accepting the extracted entry. A successful scan does not establish that an expense is deductible or that the client can claim a GST credit.
Compare the extracted fields with the original document. Check the supplier’s identity and ABN, invoice issue date, description, amounts and GST detail. Check the document number where one exists.
Confirm that the document is a tax invoice where required, with buyer details when the invoice rules require them. Confirm the purchasing entity and business purpose, including any private use. A document number helps detect duplicates, but its presence alone does not establish a valid tax invoice.
The government’s tax-invoice guidance explains the required invoice details. A GST figure extracted from a receipt still needs the practitioner’s assessment of the purchase and the client’s entitlement.
How the Apps Handle Review Exceptions
| App | Source and uncertain fields | Possible duplicate | Missing-record responsibility |
|---|---|---|---|
| Xero Smart Document Capture | Review extracted data beside the original before accepting a match or creating an entry | Suggested transaction matches and duplicate-upload warnings help identify an existing record | Assign a staff owner to contact the sender and keep the unresolved item out of approved entries |
| Hubdoc | Review the uploaded image and extracted details; failed extraction or incomplete data needs correction | A potential-duplicate icon opens the matching documents; flagged documents are excluded from automatic publishing | Keep a practice follow-up list for incomplete records and give each request an owner |
| Dext | The Item details page shows the image and editable extracted fields, with actions controlled by permissions | Review mode flags suspected duplicates for a decision; Automatic mode can remove them from the inbox | Request paperwork for unmatched bank transactions and track the recipient’s reply |
Dext’s duplicate comparison uses extracted fields, so an unreadable reference can prevent a match. Its supplier settings can override the account’s duplicate mode. The reviewer must resolve a flagged pair, and Dext requires an admin-level role for that action.
Treat blank or implausible fields as review work even when the app shows no warning. Hold an incomplete item in the review queue and record the missing evidence. Ask for the original invoice or a complete image. Keep the GST decision unresolved until the practitioner has adequate support.
The Australian Taxation Office requires GST records for five years from preparation, receipt or completion of the transaction, whichever is later. Retain supporting calculations and adjustments too. Some records need longer retention, so set the practice’s record retention procedure before relying on an app archive.
Connect the Correct Client Organisation
Connect each collection account to the intended accounting organisation and limit publishing to authorised staff. One user can work across several entities, so a familiar client name is insufficient evidence of the correct destination.
Xero Smart Document Capture creates or matches records within Xero itself. Hubdoc has direct connections to Xero and QuickBooks Online. Dext publishes through supported accounting integrations, including those two products. A downloaded spreadsheet imported by a staff member is a manual transfer, with its own mapping and duplicate checks.
Before the first real document reaches the accounts:
- Match the legal entity and accounting organisation to the engagement record. Confirm that the connected organisation belongs to that entity.
- Set the reviewer’s permissions in both the capture service and accounting software. For Hubdoc, invite users and assign roles separately from Xero.
- Confirm the destination record type and its approval state. Check the account code, GST treatment and reporting period before approving it.
- Search the accounts for the purchase already entered through another route. Choose a match where appropriate and avoid creating a second expense for the same payment.
- Open the resulting accounting record and its attachment or source link. Confirm that the complete document remains accessible to the people who need it.
Give one staff member responsibility for connection failures and another for cover during absences. If publishing fails or its result is uncertain, inspect the destination before retrying. Record the document reference and any created transaction. Reconnect through an authorised user, then resolve the queue without resending everything.
Check Free Plans and the Full Cost
For a client already paying for an eligible Xero business plan, included capture is the first arrangement to assess. The best free receipt capture app for that client can be the one already covered by the subscription, provided its permissions and records meet the job.
Included Access and Separate Subscriptions
| Arrangement | What the client or practice pays for | Limits affecting the decision |
|---|---|---|
| Xero Smart Document Capture | Included in the client’s paid Xero business subscription | Extraction file limits apply; the accounting plan’s transaction limits remain |
| Hubdoc connected to an eligible Xero business plan | Included while connected to that subscription | Separate client organisations and user permissions still need setup; extraction upload limits apply |
| Hubdoc free practice account | Practice entitlement for eligible accountants and bookkeepers | Covers the practice account, not an unlimited set of free client accounts |
| Hubdoc standalone | Separate monthly subscription for a client organisation | Multiple collaborators and unlimited storage do not remove upload limits or fund the accounting subscription |
| Dext partner arrangement | Per-client subscription, with the displayed annual option billed monthly and excluding GST | Ten-client minimum and credit allowances for heavier extraction affect the practice’s commitment |
For a like-for-like comparison, use a fictional practice with ten client organisations, each receiving 100 documents a month. Keep the same accounting subscriptions in every option. Count the people needing access and identify which documents need line-item extraction or supplier-statement work.
With eligible Xero clients, included capture avoids a separate capture subscription. Dext adds a paid collection arrangement across those clients. Compare its client commitment and credit allowance with that same monthly workload. Compare the full annual commitment too, because monthly billing on an annual contract differs from a cancellable monthly subscription.
Xero’s Australian plan prices include GST, while Dext’s displayed partner terms exclude it. Hubdoc’s standalone pricing page bills monthly in US dollars, so its charge needs a separate currency and tax assessment. Keep GST treatment visible in the practice’s cost comparison. Add setup and recurring exception work before choosing solely on the subscription charge.
Free or included access is suitable when it covers the actual job. A paid service becomes useful when the practice needs its missing-paperwork requests, collection channels or review arrangements. Download complete records before closing an account, and include continued access in the practice’s retention arrangements. An app’s trial or included entitlement is not a promise of indefinite access after cancellation.
Agree How the Practice Runs the App
Record the chosen capture channel, reviewer and exception owner before inviting clients. Name the entity and accounting destination, identify who can publish and agree how the client supplies a missing record.
A Document From Upload to Accounting Entry
In this fictional example, a company administrator forwards a supplier’s complete invoice to the company’s Hubdoc address. A field employee also uploads a photo of the same invoice. Hubdoc flags a potential duplicate, and the authorised reviewer compares both records with the supplier reference.
The reviewer keeps one purchase record, confirms the business purpose and checks the GST treatment against the source. The reviewer checks that the purchase is absent from the company’s Xero accounts, then publishes it once. The accounting record retains the source attachment or link. When the bank payment arrives, staff match it to the recorded purchase.
If the image omits a page or the invoice belongs to another entity, the reviewer holds it and the exception owner asks the sender for the missing evidence. The practice records the answer before posting.
Changing Capture Apps
Agree a final upload point in the old app and disable its automatic publishing before using the replacement. List unpublished documents and transactions whose publishing state is uncertain. Reconcile that list against the accounting destination before moving any item.
Keep the old source documents, accounting references and review notes accessible under the retention procedure. Redirect supplier emails and tell each sender which route replaces the old one. Remove old permissions only after the handover and retained-record access are complete.
When you have narrowed the choice, use Dext vs Hubdoc for that two-product decision or Dext vs Xero to assess adding a separate service. For staff adopting Dext, follow the Dext training procedure so collection and review responsibilities carry through to publishing.
One client form. One finished return.
Your client completes one guided form. Tax Genie checks it, chases mistakes and sends the details to your engagement letter and tax software.
