Is Adobe Acrobat AI Assistant Safe? Client PDFs

Acrobat now offers to summarise every client PDF. Learn what its AI Assistant sends to Adobe, whether it trains on files and how to switch it off.

It depends on your practice’s approval for cloud processing: Adobe Acrobat AI Assistant sends a selected PDF to Adobe’s AI service when you use it.

Is Acrobat AI Assistant Safe for Client PDFs?

Acrobat AI Assistant is suitable for client PDFs only when your practice has approved that use of the document. Asking it about a bank statement sends document content outside the computer.

Adobe says it does not use your content to train AI models. That promise answers the training question. Your practice must still decide whether Adobe’s processing, retention and account settings suit the client information involved.

For example, a bookkeeper who asks for unusual transactions sends the statement for AI processing. Asking only about transactions does not remove account details from the PDF. Use an approved, redacted copy if the task needs no identifying information.

Make that decision before opening the assistant or requesting a summary. An AI button appearing beside a PDF is not permission from the practice to send the file.

What the AI Assistant Does With a PDF

AI Assistant answers questions about a PDF, generates summaries and uses document content to produce its responses. Adobe’s AI Assistant FAQ also describes rewriting, translation and PDF Spaces for working across documents.

A suggested question starts an AI task too. Staff do not have to type a new prompt to use Acrobat generative AI. Clicking a suggested prompt or requesting a generative summary counts as a request under Adobe’s usage policy.

Processing and Retention

Adobe’s enterprise security fact sheet describes sending the selected document to its cloud service. The service extracts its content and sends content to Azure OpenAI to generate answers or summaries.

The fact sheet describes a 12-hour cache for document content, prompts and responses. Chat history is separate. Flagged content can be kept for 30 days, with longer retention for legal reasons. Consented enterprise feedback has a 30-day retention period.

These exceptions mean the cache period is not a promise that every record disappears after 12 hours. Avoid putting client information in feedback unless your practice approves that disclosure.

Adobe’s chat-history instructions say desktop and mobile history stays on the device, while web history uses Adobe cloud storage. History includes prompts and responses. A PDF Space’s history can retain content from documents removed from that Space.

Clear a document’s or PDF Space’s history through its Options menu. Clearing history removes its prompts, generated responses and document overviews. End users cannot turn history off altogether. Enterprise administrators have a separate setting for that.

Training and Human Review

Adobe’s content-analysis FAQ says it does not analyse content to train generative AI models, except content submitted to Adobe Stock. Business accounts are automatically opted out of content analysis for product improvement.

The Generative AI User Guidelines separately allow automated and manual review for abuse prevention and content filtering. Treat a no-training promise and a promise of no human access as different claims.

AI-generated answers also need checking against the PDF. Adobe’s user disclosures warn that an answer or its source attribution can be wrong. A summary of a statement does not establish the correct tax treatment of a transaction.

Business Plans and Administrator Controls

Enterprise administrators can restrict AI Assistant through product profiles in Adobe Admin Console. The available service settings depend on the product assigned to the user.

For Acrobat Studio for enterprise, Adobe’s administrator instructions identify AI Assistant in Acrobat, AI Assistant Chat History on Cloud and Adobe Express as configurable services.

  1. Open the relevant Acrobat product in Admin Console and select its product profile.
  2. Disable AI Assistant. For Acrobat Studio, Adobe also directs administrators to disable Adobe Express to revoke AI Assistant access.
  3. Disable AI Assistant Chat History on Cloud when cloud history is outside your practice’s approved use.
  4. Review every profile assigned to affected users, then check the result in an affected staff account.

Turning off PDF Services alone does not disable AI Assistant. Adobe explicitly says AI Assistant can work with PDF Services off. A user can belong to multiple product profiles, so review their complete assignment.

For teams or individual accounts without these enterprise service settings, apply the desktop preference below. Record which accounts and devices it covers before treating it as a practice-wide restriction.

Turning It Off for Client Files

Turn off generative AI in Acrobat preferences on each relevant desktop. Adobe’s instructions for Windows and Mac give these steps.

  1. Close every open document in Acrobat.
  2. Open Preferences from Menu on Windows or View on Mac. Select Generative AI.
  3. Clear the checkbox labelled Enable generative AI features.
  4. Select OK to save the change.
  5. Reopen Acrobat with a harmless sample PDF. Confirm the preference stays cleared and the generative AI features are disabled.

If the preference is missing or cannot be changed on a managed device, ask the administrator to inspect that account’s assigned services and managed settings. Verify the restriction in the staff account that handles client files.

A desktop preference does not establish the settings of a separate web or mobile session. Include those clients in the practice’s decision before staff use them with the same PDFs.

When AI use is approved for a task, remove information the task does not need before sending the file. Use PDF redaction to remove visible details and a PDF metadata remover for hidden file information.
