Accounting firm workflow management software must turn an accepted client into recurring jobs with named owners and checked due dates. Choose Karbon for team handovers, Xero’s practice management for Xero-led compliance work or TaxDome for a combined client portal and job pipeline.
Best Workflow Tools by Practice Type
The best workflow tool fits the work your practice repeats and the systems holding its client records. A sole-principal tax practice needs fewer handovers than a multi-partner practice, while a BAS and bookkeeping firm needs reliable recurring work.
| Tool | Best for | Recurring job templates | Client portal | Email integration | Australian tax software connections |
|---|---|---|---|---|---|
| Karbon | Multi-partner practice with work passing between staff | Templates and repeating work schedules | Client tasks and portal | Email held beside client work | XPM contact synchronisation |
| TaxDome | Sole-principal practice wanting a portal and pipelines together | Recurring jobs and task templates | Portal and mobile app | Connected email and Inbox+ | QuickBooks billing connection has a different purpose from tax lodgment tracking |
| Xero Practice Manager | Sole-principal or small Xero-led tax practice | Recurring jobs and job templates | Use a separate client-document service where needed | Keep correspondence with the chosen document service | Xero Tax sits in the same practice environment |
| FYI | Multi-partner practice wanting documents beside jobs | Automated job creation and job templates, depending on plan | Collaborate document sharing | Outlook email filing | Jobs from XPM, MYOB AE/AO, APS and MYOB Practice Management |
| Senta | Small BAS and bookkeeping firm prepared to configure local services | Repeat services with jobs and assigned tasks | Client portal | Microsoft 365, Google and SMTP/IMAP email connections | Xero and QuickBooks connections serve ledger/client information tasks |
Karbon
Karbon is the strongest fit when several staff share a client and email drives the handover. Its recurring work schedules create repeat jobs from templates. My Week gives each staff member their assigned work and email, while managers can inspect job status and workload across the practice.
A preparer can finish a BAS task and leave the work ready for review with its correspondence beside it. Separate job roles help the practice identify who prepares the work and who reviews it. That is more useful for a multi-partner practice than another spreadsheet of jobs.
The limitation is the distinction between client synchronisation and lodgment information. Karbon’s XPM contact connection synchronises client details. Treat the tax software’s lodgment record as a separate source when setting deadlines and confirming completion.
TaxDome
TaxDome suits a sole-principal practice that wants client requests, document exchange and workflow in the same service. Jobs move through pipelines, and stages can create tasks or send emails. Recurrences create the next job without copying a checklist by hand.
Staff can work with assigned tasks and their due dates. The practice must also assign the review stage to its reviewer, so a job waiting for approval reaches the right person. A manager’s pipeline view then shows the whole practice’s outstanding work.
The local setup is the limitation. A recurring job needs the practice’s Australian BAS or tax-return instructions and confirmed due rule. TaxDome’s QuickBooks connection transfers billing information. That connection does not establish that a tax lodgment has occurred.
Xero Practice Manager
Xero Practice Manager is now named Xero Partner Hub + Practice Management. It suits a Xero-led tax practice that wants recurring jobs beside its client records and Xero Tax work. Job templates can carry tasks, milestones and staff assignments.
Use job states such as waiting for records, preparing and review to distinguish the work still required. Staff assignments and job filters give the team a view of their own work. Set a saved review view for the principal instead of relying on the practice-wide job manager alone.
The limitation is the work surrounding the job. Client-document collection and shared correspondence need a deliberate setup alongside job management. A practice that spends most of its day in email might prefer Karbon’s email-centred approach or FYI’s document filing.
FYI
FYI suits a practice whose job handovers depend on finding the right document or email. Its jobs can come from an existing practice management system. Staff see assigned work in My Jobs, and documents or tasks can be filed against the job.
FYI Pro and Elite include a Jobs Board and bulk job creation through automations. XPM Workflow Jobs can show the individual tasks beneath an annual billing job. This helps a reviewer distinguish the BAS work ready now from the wider yearly engagement.
Plan and system ownership are the limitations. Intermediate has fewer job-management features, while Elite can use FYI as its practice management source. Decide which system creates jobs before turning on automations, or two systems can create the same obligation.
Senta
Senta suits a small practice that wants recurring services to create assigned work and client reminders. A service can contain repeat jobs, and each job can contain tasks for staff or clients. Task filters let staff find work by owner and due date.
Its email connection gathers correspondence against the client, and the portal supports document exchange. For a BAS and bookkeeping firm, that can join records requests with the work they support. Configure a separate preparer task and reviewer task so approval remains visible.
Senta’s published workflow examples use UK services such as VAT and Companies House. An Australian practice must replace those assumptions with its own BAS cycles and tax responsibilities. That setup makes it a conditional choice for firms prepared to maintain their local templates.
Each shortlisted tool has staff assignments or filtered task views. Keep a reviewer’s queue visible alongside the manager’s wider dashboard.
The Karbon and TaxDome comparison examines those two choices in more detail. If time recording and billing drive your decision, use the practice management software comparison.
From Signed Engagement to the First Scheduled Job
Create the first recurring job as part of accepting the client, with a staff member responsible for checking its due date. A signed engagement letter establishes the agreed work. It does not tell the scheduler whether the client reports GST monthly or quarterly.
Move the handover through these steps.
- Record the signed engagement letter against the correct people and entities. Confirm which services the practice has agreed to provide.
- Create or match each entity’s client record. Keep the company separate from its director and the trust separate from its trustee.
- Check the entity type, GST registration, reporting cycle and balance date against the supporting records. Record the lodgment method and agent-program position.
- Assign the responsible partner and the preparer. Add the reviewer before the recurring job becomes active.
- Create the first job from the matching service template. Set its external lodgment deadline from the client’s actual obligation, then work backwards for records collection and review.
Tax Genie sits before this recurring work. Rules and AI review check the client form, with every TFN removed before AI review. Fixes reopen the affected sections and reach the staff handling the client. Recorded staff corrections show who changed what and when.
It generates the engagement letter and sends checked details to your tax software.
Its separate Division 7A work keeps shared client folders and loan schedules, records repayments including dividend offsets and flags shortfalls. Staff generate editable Word agreements, sign them outside the service and keep signed copies with the loan. These loan records support the relevant client work alongside the practice’s recurring-job scheduler.
During the client’s first week, compare the first scheduled BAS with the obligation visible in ATO systems. Missing BAS-cycle information can create quarterly jobs for a monthly reporter. A wrong lodgment method can also cause the template to assume extra time the client cannot use.
An incorrect setup copies the last new client’s quarterly template without checking the cycle. The correct setup records this client’s cycle, confirms the first obligation and checks the resulting job. The onboarding steps covers the earlier acceptance and collection steps.
Accounting Workflow Automation Worth Setting Up First
Start accounting workflow automation with recurring job creation and missing-record reminders, then add review handovers. Those steps remove repeated administration without changing who makes the tax decision.
Use the workflow tool’s own rules for jobs, stage changes and reminders it supports. A connector such as Zapier moves information between separate services. An API is a software connection that needs someone to build and maintain it.
Cross-service automation has more failure points. Permissions can expire, a field can change or the receiving service can reject a record. Native rules still need correct setup, but they do not add another service between the trigger and the job. Give every failed handover a staff owner and a visible exception queue.
A Quarterly BAS Reminder Chain
This fictional company reports GST quarterly, and the practice has confirmed its actual lodgment deadline. The reminder chain starts after the reporting period closes.
| Stage | Automated action | Staff decision or check |
|---|---|---|
| Job created | Assign the records request and preparation task | Confirm entity, reporting period and due rule |
| Records outstanding | Send a reminder after the practice’s chosen waiting period | Stop reminders when records arrive or the client reports a problem |
| Ready to prepare | Notify the preparer that records are available | Check completeness and resolve GST questions |
| Ready for review | Assign the review task | Reviewer approves the BAS or returns it for correction |
| Ready to lodge | Notify the authorised staff member | Confirm client authority and lodge through the tax software |
| Lodgment confirmed | Send the confirmation message | Release the message only after the lodgment result is recorded |
A stage called ready to lodge is not proof of lodgment. If the tax software rejects a return or statement, keep the job open and assign the exception. Record the rejection and the next action before restarting client messages.
Confirm the client’s email address and authorised recipients before activating the chain. An automated message sent to an unconfirmed address can disclose tax information to someone else. Keep sensitive attachments in the approved secure document service.
Section 30-10(6) of the Tax Agent Services Act restricts disclosure of client information without permission, except where a legal duty applies. The TPB’s confidentiality guidance explains how this duty applies to third-party services. Record the client’s permission for the relevant disclosure and service arrangement.
Capacity When You Cannot Add Staff
Use outstanding work to decide which automation comes first when your practice faces an accountant shortage. Count jobs waiting for records separately from jobs waiting for preparation and review.
In a fictional practice, 18 BAS jobs wait for records, eight are ready for preparation and six wait for the principal’s review. Automating records reminders addresses the 18 waiting jobs. It does not increase the principal’s review capacity, so preserve review time before accepting more work.
Track the manual steps repeated on those jobs. Client chasing and repeated data entry are candidates for automation. Routine handover messages can also run when job status changes. The preparer still resolves the accounting treatment, the reviewer checks the work and the principal remains responsible for the service provided.
For tax workflow software, inspect the whole recurring job. The entity and reporting cycle must select the right template, and a named reviewer must receive the work. Exceptions need their own owner instead of disappearing inside a completed task.
Project Management Software Versus Accounting Workflow Tools
Project management software for accountants must handle work that returns each reporting period, often with the same client and a different deadline. Accounting workflow tools organise those recurring obligations around client records and staff responsibilities.
Asana, monday.com, Trello and ClickUp can organise projects and automate tasks. General tools need the practice to build its accounting-specific entity records and due rules. A recurring task alone does not know whether a client qualifies for an agent-program deadline.
A general tool is enough for an advisory-only firm running a handful of one-off projects. Each project can have a scope, owner and finish point. Recurring compliance work needs a repeatable rule for creating the next job and checking its deadline.
Trello and ClickUp for a BAS Job
Trello uses cards and checklists, with rules or scheduled commands for repeated actions. ClickUp supports recurring tasks and choices about what carries into the next task. Either can track an individual BAS if the practice defines the work.
| BAS requirement | Trello setup | ClickUp setup | What the practice maintains |
|---|---|---|---|
| Client and entity | One card for the entity and reporting period | Task linked to the practice’s client record or list | Correct entity identity and reporting cycle |
| Owner | Assigned card member | Task assignee | Cover during leave and reassignment |
| Evidence request | Checklist item with secure file location | Subtask or separate request task | Receipt status and secure access |
| Due rule | Card due date plus configured automation | Recurrence and task due date | ATO deadline, eligibility and exceptions |
| Preparer and reviewer | Separate checklist assignments where supported | Separate assigned subtasks | Review before completion |
| Next period | Scheduled card creation or a copied template | Recurring task creation | Duplicates and any changed client details |
Compare adaptation cost in staff hours. Count template-building time, field maintenance and the monthly reconciliation of jobs to actual obligations. Compare that with configuring an accounting tool’s existing job templates. A subscription saving can disappear if a manager must inspect every recurring card by hand.
Time management software for accountants records hours for billing and capacity. Workflow software records what must happen next.
Karbon has time budgets and workload views. Xero’s practice management has time recording and productivity reports, while FYI Elite includes capacity planning. TaxDome and Senta include time recording. A timer does not tell the reviewer whether a return is ready.
Connections to Tax and Ledger Software
Judge a connection by the records it carries, because a shared client list is different from a lodgment-status connection. Ledger software holds accounting information. Australian tax software holds returns or statements and their lodgment results.
| Workflow choice | Connection and records | What it proves for scheduling |
|---|---|---|
| Karbon | Xero and XPM contact connections, plus QuickBooks Online Accountant in its integration directory | Contact synchronisation keeps client details consistent. It does not establish the client’s ATO deadline |
| TaxDome | QuickBooks Online transfers accounts and billing records under the configured sync | Billing records are distinct from Australian tax obligations |
| Xero’s practice management | Client records and jobs beside Xero Tax | Keep the tax obligation and job state consistent, even when they share the Xero environment |
| FYI | Client/job connections for XPM, MYOB AE/AO, APS and MYOB Practice Management. Xero Tax return links can also be filed | Documents and job states can sit together, with the imported record type depending on the connection |
| Senta | Xero client-data connection and a QuickBooks integration | Ledger/client connections need separate practice rules for tax due dates |
In Online services for agents, use the client’s obligation and client-list information to confirm lodgment deadlines. Eligible BAS deadlines appear when the activity statement becomes available. Electronic-lodgment eligibility and the type of statement affect the extra time allowed. The ATO’s activity-statement guidance explains the conditions.
A workflow template can repeat a date rule without retrieving the ATO’s deadline. Importing contacts or jobs is also different from importing obligations. Where the tax software supplies an obligation report, compare it with the scheduler and record approved deferrals. Use the agent lodgment program guide for the rules behind those deadlines.
TaxDome’s privacy policy describes possible transfers or processing in the US, EU and other countries where its providers operate. That statement does not identify the hosting location of every Australian account. For any shortlist, assess overseas handling alongside your confidentiality permissions and privacy obligations. Do not infer Australian storage from an Australian sales page.
The accounting firm tech stack guide explains how client collection, workflow and tax software fit together.
Choosing a Tool and Moving Across Without Losing Jobs
Choose the tool against your recurring services, then move open work under one named cut-over owner. Keep the current scheduler active until the replacement contains every outstanding obligation.
- List the recurring job types you run, including BAS, tax returns and any payroll or company-compliance work. Count clients by entity type and reporting cycle.
- Test the shortlisted tool with five real client scenarios inside your authorised practice environment. Include a monthly reporter, a quarterly reporter, a trust, a company and a client with a lodgment exception.
- Inspect what the preparer and reviewer each see. Confirm that due dates and missing-record tasks remain visible without the manager distributing a separate list.
- Export client records and open jobs from the old tool or spreadsheet. Map entity identifiers, job period, owner, due date and status into the replacement.
- Set the cut-over date after a BAS quarter is fully lodged. Keep exceptions that remain open on a named list and allocate each one to a single system.
- Check duplicates using entity, service and reporting period together. One entity can need several services, so matching the client name alone is insufficient.
- Reconcile open-job counts and due dates before activating recurring creation or client messages. Keep the old records available for reference and stop their repeating schedules at cut-over.
Select the tool that creates the correct next job and puts it in the right staff member’s list. Finish the move only when the first recurring cycle has an owner, a checked deadline and a reviewer.
