Karbon vs TaxDome is a choice between a team built around shared email and a practice built around client organisers. TaxDome suits portal-led onboarding. Karbon suits teams that turn client conversations into assigned work, with a client portal alongside that work.
The Short Verdict
Choose TaxDome when you want clients to complete organisers, sign engagement letters and pay through one portal. Choose Karbon when shared email and work templates organise your team’s day. Neither is an obvious fit for a sole practitioner with a handful of business clients who already manages jobs adequately in Xero.
Both suites now have client portals, document signing and billing. The deciding difference is how you organise the practice around those features. Karbon’s Engagements also connects a signed agreement to work and billing, so an email-led team can still give clients a portal experience.
What a New Client Sees in Each
TaxDome starts the client with a portal invitation and organiser, while Karbon can send requests from an assigned work item. Use the same fictional example in each: a discretionary trust with a corporate trustee and one director authorised to instruct the practice. The trust, trustee company and director are separate records of responsibility.
The Trust in TaxDome
Create the trust’s account and link the director as the contact who receives the invitation. Build a trust organiser that asks for the trust’s details and identifies the corporate trustee. Add separate questions for the company’s ACN and the person signing for it.
The director opens the organiser, answers the applicable questions and uploads the deed and requested supporting documents. TaxDome supports conditional questions, saved progress and previous-answer prefill. Your practice supplies the Australian questions and decides which documents it needs.
Review the answers before preparing the engagement letter. Name the client and the trustee’s capacity correctly, then send the letter for signing through TaxDome. An invoice can follow within the same client account, with payment handled through the payment service your practice connects.
The Same Trust in Karbon
Create organisation contacts for the trust and trustee company, then associate the director’s person contact with the relevant organisation. Assign a client owner or manager. Start an onboarding work item from your trust template and send the document requests to the director’s email address.
Karbon’s help guide describes requests with instructions and due dates. Clients can upload files and comment, and completed requests update the work item. The team receives notifications through Triage, Karbon’s area for incoming email and work updates.
Prepare the engagement through Karbon Engagements, which supports engagement templates and payment-detail collection during signing. Karbon for Clients has signing and invoice access, so the engagement letter need not travel as an email attachment. Email still starts the invitation and carries conversations that your practice chooses to keep in its inbox.
The Australian Checks Behind Either Portal
Treat a completed organiser or request as information collected. Assign the following checks to a staff member before marking the client ready for work.
| Check | Practice action in either suite |
|---|---|
| ABN and TFN details | Check the number’s format and the relevant register or authorised tax record. A correctly formatted number does not establish identity. |
| Corporate trustee | Read the deed and relevant company records. Confirm which company acts as trustee and who can instruct you for it. |
| Director ID | Record the relevant director-ID check separately from the trust’s TFN. A signed engagement letter does not establish the director’s identity. |
| Identity and authority | Apply the TPB’s client-verification procedure to the entity and its representative. Record how you established identity and authority. |
Use the Australian new client form guide to decide which questions belong in the trust request. The suite can store answers and review tasks, while your practice must make the identity and authority determination.
The TPB’s proof-of-identity guidance requires a contemporaneous check record. It does not require or recommend retaining copies of identity documents. Avoid making permanent ID uploads the default merely because a portal can hold them.
Completing the Request on a Phone
TaxDome clients can complete organisers in its iOS or Android app, including conditional questions and saved answers. Karbon for Clients has web and mobile access for document sharing, signing and client tasks. Both give the director a way to respond away from a desktop.
For this trust example, keep the deed upload separate from the company-detail questions. Explain who signs for the trustee beside the signing request. A mobile portal cannot make an unclear question easier to answer.
Where Onboarding Ends and the Work Begins
Onboarding ends when the engagement is accepted and the practice has completed its required checks, with missing information resolved. A signed letter alone is insufficient to mark the trust ready for its first return or BAS job.
In TaxDome, create an onboarding job in a pipeline and assign the responsible staff. Pipeline stages separate information collection from review and acceptance. Job templates and automation organise the tasks and client requests, but your practice decides when review permits the job to move forward.
In Karbon, the work template contains the staff tasks and client requests for the first job. Engagements can turn the signed agreement into one-off or recurring work with teams and deadlines assigned. Keep the acceptance and identity-review tasks visible before starting preparation.
The trust’s annual return, BAS and trust-resolution work need their own responsibilities and recurring schedules. Copying every onboarding request into each later job would ask the director for details the practice already holds.
The double-entry trap sits between collection and your tax software. If an organiser captures a trustee’s details but the connection only exchanges contacts or invoices, staff still type the trustee details again. A QuickBooks billing connection does not prove that a trust’s answers reach an Australian tax return.
Separate each handover into the objects it moves: contacts, documents, jobs and tax-return fields. Use the onboarding comparison with a dedicated tool when your main problem is checking client answers and sending approved details into your tax software.
Features That Matter After Onboarding
Karbon gives the team shared email and assigned work, while TaxDome combines client accounts with pipeline jobs and portal activity. Compare the work your staff actually do after the trust becomes a recurring client.
| Work your team needs | Karbon | TaxDome |
|---|---|---|
| Email handling | Integrated email, Triage and client timelines let staff organise conversations with work. | Email sits alongside client accounts, portal chats and Inbox+ notifications. |
| Tasks and deadlines | Work templates, task assignments and recurring work. Automation depends on the plan. | Pipeline jobs, task templates, assignees and recurring jobs. |
| Time and billing | Time tracking, budgets, invoicing and payments are listed in its core plans. | Time tracking, invoices and payment collection are suite functions. Payment processing is a separate service. |
| Reporting | Work insights and budget reporting, with additional reporting options by plan or add-on. | Reporting covers practice activity and financial information. |
| Team capacity | Capacity planning sits beside work budgets and assigned work. | Assigned jobs show responsibility. TaxDome’s Work Forecaster page labels forecasting as coming soon. |
| External connections | Email and accounting connections are separate from sending organiser answers to tax-return fields. | Listed connections include QuickBooks Online, Stripe and Zapier. Each connection has its own purpose. |
Native means the function is inside the suite. An integration exchanges specific information with another service. A CSV export leaves a manual handover, even when importing that file saves typing.
For a broader choice, compare the practice management software field. If your team’s problem is specific to Karbon, the Karbon alternatives guide follows that separate decision.
Price and Plans in Australia
Both subscriptions grow with the number of staff who need access. Compare the billing commitment and required functions alongside the subscription, because a cheaper entry plan can leave your team doing follow-up manually.
Karbon has Team, Business and Enterprise plans and bills Australian accounts in dollars. Team includes core email, work and billing functions. Business adds automatic client reminders, task automation and industry integrations, while Enterprise has additional reporting and service options.
Karbon lists annual and monthly billing, with monthly subscriptions limited to teams of four or more. Its separate document-signing requests use purchased credits. Proposals and engagement letters sent through Karbon Engagements do not use those credits.
TaxDome’s Australian pricing page lists one suite with one-, two- or three-year seat commitments, billed upfront. Monthly options are available through its demo enquiry. TaxDome states that GST does not apply to Australian subscriptions.
Budget for payment-processing fees separately from either subscription. Price any required SMS service on its Australian availability and allowance, rather than assuming that unlimited organisers include unlimited messages. Include migration assistance and training in the written scope you agree with the vendor.
Template work is another cost your practice carries. Someone must build the trust questions, decide the signing parties and assign review tasks. Keep the subscription decision separate from the staff time needed to make either suite work for your clients.
Data, Hosting and Leaving Later
Either suite holds the sensitive information your practice puts into its forms, contacts and document storage. Choosing Karbon does not keep uploaded ID outside a portal, and choosing TaxDome does not transfer your privacy obligations to the vendor.
TaxDome’s privacy policy says information can be transferred, processed or accessed in the United States, European Union or other countries where its providers operate. Karbon’s security page describes cloud hosting, encrypted storage and encrypted backups. Treat the hosting region, support access and backup location as separate contractual facts when documenting your outsourcing arrangement.
What You Can Take With You
TaxDome’s export guide lists CSV exports for accounts and contacts, completed organisers, jobs, tasks and financial records. Download documents separately from those CSV records. Its signing guide documents downloading a signed document with a completion certificate, which belongs with the signed engagement evidence.
Karbon’s contact-export guide lets an administrator download a contact workbook with organisation and person information. Its plan comparison distinguishes standard data export from Enterprise custom export. A contact workbook and an archive of documents are different deliverables.
Before ending access to either suite, reconcile the export against the trust’s client file. Keep the engagement letter and signing evidence, deed, review notes and required service records in readable files. Open the copied documents and match them to their client record before closing the account.
TFNs and Privacy Duties
The OAIC’s TFN guidance explains the Privacy (Tax File Number) Rule 2015 under the Privacy Act 1988. The Rule protects individuals’ TFN information, so distinguish a director’s personal TFN from the trust’s TFN. Other taxation restrictions also apply to TFNs.
Collect TFNs only for an authorised purpose and limit access to staff who need them. Safeguard the records and dispose of information when lawful retention requirements permit it. Keep TFNs out of ordinary email conversations about the onboarding job.
For practices covered by the Australian Privacy Principles, the OAIC’s overseas-information guidance explains how outsourcing can affect privacy duties. The distinction between overseas use and disclosure matters. Record your arrangement and applicable safeguards alongside the practice’s privacy procedures.
For your booked demos, follow the same trust from invitation to its first assigned recurring job. Ask each vendor to show the completed client file and its downloadable records. Choose the suite whose client experience and team handover fit the work your practice needs to run.
