Accounting Client Management Software for Practices

Choosing practice management software for accountants? See how Xero Practice Manager, Karbon, FYI and Senta turn a new client into a first job.

Accounting client management software works best when it matches your tax software and keeps each entity separate. Choose Xero’s practice management for a Xero Tax practice, Karbon for shared email work or FYI Elite for work organised around client documents.

Which Suite Fits Which Practice

Practice management software holds your client list and the jobs and deadlines attached to each client. It also manages time and billing and gives your team a work queue.

The deciding question is how much checked client detail arrives without retyping, then what the suite does with that record.

SuiteBest fitWhat decides the choice
Xero Practice Manager, now Partner Hub + Practice ManagementA sole practitioner or small team lodging through Xero TaxClient records, jobs and Xero Tax sit together

When reading accounting practice management software reviews, favour Australian tax practices of a similar size to yours. Compare the review’s age with the product’s release history. Give less weight to a review that praises project boards without explaining the connection to tax software.

A bookkeeping practice can put more weight on monthly work and time capture. A tax practice needs entity relationships and the path from the client record to the return. Those differences also apply when comparing practice management software for chartered accountants.

Where Onboarding Ends and Practice Management Begins

Your handover is ready when identity and entity details are checked, the engagement letter is signed and the required agent nomination is complete. Practice management then assigns recurring jobs to the right client record. Some tasks can overlap, but a provisional record must remain clearly marked until its details are cleared.

Each day-one record needs the following information:

  • Legal name and entity type.
  • ABN and ACN where relevant.
  • Balance date, GST registration and PAYG withholding registration.
  • BAS lodgement frequency.
  • Contacts, their roles and their authority to act.
  • The responsible partner or manager.

Keep TFNs in restricted tax fields. Do not paste a full TFN into a note or custom field that every staff member can open. Ask which roles can reveal it and whether views and exports are recorded.

The OAIC’s TFN guidance requires reasonable safeguards and access restricted to staff who need the information for an authorised purpose. The TFN Rule protects individuals’ TFN information. Separate taxation law also governs TFN handling, so an entity’s number needs appropriate protection too.

The failure to avoid is a record created from a phone call, corrected repeatedly as documents arrive. Meanwhile, staff schedule a company return against a record that belongs to a trust. The onboarding checklist puts the checks before the handover.

One Fictional Family Group

An Australian tax practice takes on a trading company, a discretionary trust, its corporate trustee and two individual directors. These are five separate entities or people in one group. The corporate trustee’s role does not make it the trust’s tax-return record.

Staff compare the form with the company extracts, trust deed and registration details. They record the corporate trustee separately, link its trustee role to the trust and identify which directors can sign. Each individual keeps a separate personal tax record.

The first bookkeeping job then collects the trading company’s trial balance and source documents. A preparer reconciles a bank account and records an adjustment in a working paper. A reviewer clears the outstanding query and signs off the reviewed version. The job can close after that evidence is saved.

Tax Genie handles the checked handover into your tax software and Xero Practice Manager. Its rules and AI review find inconsistent answers, and automatic reminders chase missing information. ABN register checks and agent-linking guidance cover Australian setup tasks. Staff review the fields before Tax Genie updates XPM records and creates jobs.

A completed form establishes client details. A reconciled working paper establishes the accounting work, and reviewer clearance establishes who reviewed it. Keep those records distinct when choosing the suite and any connected working-paper tool.

Xero Practice Manager

Xero Practice Manager (XPM) is now part of Xero Partner Hub + Practice Management. Xero’s Australian product page says the existing job, time and invoicing tools continue within the combined client and compliance workspace. Xero HQ’s client-management functions are also brought into Partner Hub.

A client can enter through manual creation, a spreadsheet import or linking an existing Xero organisation to a client record. Linking an organisation does not replace checking its legal entity details. The Xero HQ client setup guide explains the record-to-organisation step.

Xero’s import documentation supports named client fields, business type, contacts and client groups. Australian tax-client imports also carry identifiers and partner or manager assignments. Preserve the client and contact identifiers in an exported file when updating existing records. A generic international template must not determine your Australian GST or tax-field mapping.

For the fictional family group, create five records and put them in the same client group. Add the documented relationships between the trust, corporate trustee and directors. Xero’s relationship tools use those links when preparing tax returns.

Apply a job template to the trading company’s first accounting job. Assign its manager and due date, then set up recurring BAS and annual work against the appropriate entities. Give the trustee company only the services it needs. Do not copy the trust’s tax jobs onto its trustee.

Xero’s Australian practice suite connects Practice Management with Xero Tax and Xero Workpapers. That gives a Xero Tax practice a direct path from checked client details to compliance work. A practice lodging through another tax product needs a separate data handover instead of relying on that Xero Tax connection.

For the fictional bank reconciliation, the practice uses Xero Workpapers beside the job to retain preparation and review evidence. Keep the source reference and reviewer clearance with the working paper. A job’s completed status alone does not prove that review happened.

From the new-client angle, XPM suits a Xero Tax practice that wants its client list and first jobs in the same suite. Its benefit is smaller when your returns remain elsewhere. Watch the Partner Hub transition, permissions and connected-app behaviour when configuring a new implementation.

Karbon, FYI, TaxDome and the Other Suites

Each suite can organise a signed client’s continuing work. The differences are where the record begins, how relationships are represented and which tax or working-paper connection carries it forward.

Karbon

Karbon suits a team that needs client email and work in the same place. Its client management includes people, organisations and client groups. Work templates set the tasks and reminders for recurring services.

For the fictional group, keep the trading company, trust and corporate trustee as separate organisation records. Keep each director as a person and group the related records. Start the trading company’s first job from the relevant template after its details are cleared.

Karbon supports CSV migration and a documented XPM contact connection. Its XPM guidance maps clients by business type and distinguishes organisations from people. Matching uses names and emails, so a contact appearing as both director and individual client needs careful reconciliation.

Karbon’s client requests and reminders collect information within the work. Its Tax Organizers & Binders page describes a StanfordTax connection, so distinguish that connected service from Karbon’s own client records. For the fictional reconciliation, attach or connect the working paper and carry its review task in Karbon. Specify the selected working-paper connection separately from the XPM contact sync.

FYI

FYI Elite suits a practice that wants practice management built around its document workspace. Elite includes client maintenance, forms, time and billing. FYI’s help also permits direct client creation on supported configurations with FYI as the primary client-data source.

FYI can receive client and group data from XPM. Its documented Practice Sync connections also include MYOB AE/AO and APS, with different capabilities and restrictions. Direct client maintenance is not the same configuration as reading clients from those legacy sources.

For the fictional group, retain five client records under one client group. With supported FYI client maintenance, an automation can create a record from form data or CSV data. The documented fields include group, business type, name, contact details, partner and manager, plus location-specific tax and company fields.

Assign the first job after the group records are checked. The trading company’s documents then sit with its job, while the trust deed stays against the trust. FYI documents an Active Workpapers connection for preparation and review work. Its APS Practice Sync documentation says Xero Tax cannot be connected through that setup, so choose the compliance route deliberately.

TaxDome

TaxDome suits a practice wanting client forms, document exchange and jobs in one portal. It creates accounts for the entities you serve and contacts for the people you deal with. Staff can add records or import accounts and contacts from CSV.

For the fictional group, create separate accounts for each entity and each individual tax client. Link the two directors’ contacts only to the accounts they are authorised to access. Shared contacts make related accounts visible to staff. Avoid importing a trust as a company just because both use one contact email.

TaxDome’s import maps account types and default or custom fields. Organisers collect answers through conditional questions. Jobs run through pipelines. Keep the first job attached to the trading company’s account after the form is reviewed.

For the fictional reconciliation, retain the source documents and reviewed working paper against that account, with preparation and review tasks in the job. TaxDome’s organiser is the collection step. An Australian practice must define how checked identifiers reach its return software and how the reconciliation is performed in its selected accounting tool.

Senta

Senta by IRIS suits a practice wanting custom client fields and service-driven recurring jobs. IRIS owns Senta. Senta’s Australian site retains the Senta name, while its UK site describes incorporation into IRIS Elements Practice Management.

Staff add clients manually or import them from CSV. Senta’s published import template separates client information, services and contacts. It supports repeated contact columns and a stable identifier for updates. Client take-on jobs start when the client is added, so configure their tasks before importing live records.

For the fictional group, use separate client records and link the people who are also contacts for the companies. Map the trustee relationship explicitly after import. Turn on the trading company’s agreed services, then check the jobs created for them.

Custom forms and the portal collect additional information. The fictional reconciliation needs a working-paper record with its own preparation and review evidence alongside the Senta job. Its Xero accounting connection must not be mistaken for an Australian Xero Tax connection. Compare the required tax handover when deciding whether Senta fits your practice.

MYOB Practice

MYOB Practice Management suits a practice choosing client groups, jobs and billing within the MYOB product range. MYOB’s current Australian product page includes digital onboarding and group records. It describes a cloud product, so keep this distinct from the legacy AE/AO Practice Manager configuration.

For an AE/AO practice using MYOB Practice Compliance, MYOB documents client and contact synchronisation from AE/AO. Staff create or correct those records in the designated source. The cloud Practice Management purchase has its own implementation and migration scope.

For the fictional group, map five separate records, the corporate trustee relationship and each director’s role into the selected product’s group records. Agree which client source owns changes before enabling synchronisation. Assign the trading company’s accounting job only after that mapping is cleared.

MYOB’s Australian range includes Practice Compliance and Workpapers and reports. These are the relevant paths for the fictional reconciliation and return preparation. Obtain an implementation map covering the selected modules, import fields and review records. A generic MYOB business-accounting connection does not establish a connection to every MYOB tax product.

APS

APS is sold by The Access Group, which acquired Reckon’s accountants business. Its Australian page names APS and Access Evo. The older name Reckon APS still appears in migration records and integration instructions.

APS suits a larger practice using its tax, ledger and practice-management modules. Workflow+ creates jobs with budgets and due dates, templates support recurring work and matters connect the work to the client.

For a newly onboarded client, staff enter the checked details into APS’s central client record before assigning matters. For the fictional group, keep the trading company, trust and trustee company separate from the individual directors within a family group. FYI’s documented APS connection carries family groups, client contacts and matters. Keep APS as the client-data owner when using that connection.

APS documents client data collection and Project Management for working papers at client, matter or ledger level. The fictional reconciliation can therefore sit in an APS project beside its source documents and review tasks. Include the exact import map and module responsibilities in the implementation agreement, particularly if moving from another suite.

Financial Cents and Senta Alternatives

Financial Cents includes workflow, client requests and a portal. Its product range also includes proposals and engagement letters, so replacing it involves more than replacing a task list.

If you want a closer Xero Tax path, shortlist Xero’s suite. For email ownership across a team, consider Karbon. For documents beside client work, consider FYI Elite. TaxDome suits a broader portal-led replacement, while MYOB and APS suit practices choosing their corresponding compliance suites.

Use the same needs when looking for Senta alternatives, especially when its service automation is useful but your tax handover needs to change. Choose from the functions your practice uses. For a narrower comparison, read Karbon versus TaxDome or the Karbon alternatives by switching need.

Moving Client Data From Another System

Migrate the checked client list before trying to reproduce every historic job. A spreadsheet import can move names and identifiers without carrying the evidence that made them reliable.

  1. Export the client list and retain a readable copy of the old records.
  2. Remove duplicates and separate inactive clients from the live workload.
  3. Map entity types, groups and relationships, including trustees and individual contacts.
  4. Obtain the vendor’s migration template and service scope before signing. Map supported fields, then import a small sample.
  5. Compare those records with source documents and your ATO client list. Correct mismatches before the full import.
  6. Import the remaining records and assign recurring jobs after reconciliation.

Names, contacts, identifiers and mapped custom fields are the usual client-list transfer. Job history, time entries, emails and document links need their own migration scope. Some vendors migrate more through assisted services, so do not assume a basic CSV carries everything.

For the fictional group, count five records before and after import. Confirm that the trust points to its corporate trustee and both directors retain separate personal records. Re-check ABNs, entity types and trustee details wherever the old record was never verified.

Avoid changing suites in the weeks before a major lodgement deadline. Keep the old suite readable until one full BAS quarter has run in the replacement. Retain records for the periods your obligations require, even after operational access to the old suite ends.

Questions to Put to Each Vendor

Ask the vendor to demonstrate the record-to-return path and document it in the implementation scope. For tax practices, that path and reconciliation with the ATO client list deserve more weight than generic project features.

Your demo needs answers to these questions:

  • How is a new client created, and which tool owns later changes?
  • Does the API accept entity type, group membership and trustee or director relationships?
  • Which staff can view TFNs, and what appears in a normal export?
  • Where is client data stored, and which service providers can access it?
  • What can you export if you leave, including documents and review records?
  • Which Australian tax connection sends each field, in which direction and when?

Compare the full cost using your actual staff count. Record the quote’s validity date and currency, whether GST applies and whether billing is monthly or annual. Include minimum seats, setup and migration, plus portal or signature add-ons where charged. FYI separates professional services from subscriptions. TaxDome uses seats and contract terms, while Xero access also depends on partner-program eligibility.

When comparing working paper software for accountants, inspect source-document references and preparer adjustments. Then inspect reviewer sign-off, version history and retention. A reviewer must be able to identify the version cleared and trace its figures back to the documents. A completed job status supplies neither that calculation nor that evidence on its own.

Client Management Means More Than a Prospect CRM

Client management for accounting firms keeps a signed client’s entities and recurring work together. Prospect pipeline software tracks enquiries and sales before that relationship begins. Decide those purchases by their separate jobs.

For the fictional family group, checked onboarding supplies five records and the roles connecting them. Practice management assigns the company’s BAS work, the trust’s annual return and each individual’s tax job. One group view helps the manager see progress without merging legal entities or sharing every document with every contact.

Choose the suite that keeps those records accurate through recurring work and your tax-software handover. The accounting firm tech stack guide places that purchase beside onboarding, document storage and working papers.
