Enter the Opening Balances
This trial balance template nets each account’s opening balance and movements into a closing debit or credit. It compares the closing totals and exports a workpaper with your review notes.
Enter confirmed opening balances from the previous closing trial balance or ledger. Record that source period and the movement period in Reporting period. Keep the same account codes when you transfer the balances.
Use a practice reference for the client. Account codes and source references let you trace a row to its ledger or adjustment without entering tax identifiers. Each row needs an account code and name.
Enter debits and credits in their named columns. A negative amount reverses that column’s effect. For example, an opening debit of -$125.25 has a $125.25 credit effect. Blank amount cells count as zero.
Check Movements and Closing Totals
Closing balance equals opening debit minus opening credit, plus movement debit minus movement credit. The closing columns show positive balances as debits and negative balances as credits.
The fictional example starts with $12,500 in Bank and $12,500 in Opening equity. A $2,400 bank receipt and matching Service income credit produce closing debit and credit totals of $14,900 each.
Change the Service income movement credit to $2,300. Bank still closes at $14,900, while credits total $14,800. The $100 difference points you back to the receipt journal and its income entry.
A reversing adjustment uses the opposite column or a negative amount in the original column. Enter the reversal once. The check uses exact cents and flags invalid amounts, including more than two decimal places.
What a Balanced Result Establishes
Equal debits and credits establish arithmetic equality only. A completely omitted transaction, a wrong account or offsetting errors can leave the totals equal. ACCA’s explanation of accounting errors distinguishes errors that affect the trial balance from those that do not.
For example, omitting a $600 purchase and its matching payable leaves the fictional trial balance balanced at $14,900 each. Both missing entries still need investigation against the source records.
Download Excel XML to retain every entered account, opening amounts, movements and closing balances with totals. The Excel-compatible XML workbook also includes the client reference, period, preparation and review fields. Open the .xml file in Excel or another compatible spreadsheet application.
Download account CSV to save the eight input columns for later import into this tool. CSV contains account rows only. Workpaper details and calculated closing totals remain in the Excel XML export. Correct marked fields before downloading. An unbalanced workpaper can be exported for investigation and carries its difference.
Excel XML stores account text as text. Open the CSV as text when an account field starts with a spreadsheet formula character.
Your entries and imported file stay on this device. Clear workpaper, leaving the page or restoring navigation clears the entries. A downloaded file stays wherever you save it. Review the supporting records before using the balances for reporting or tax preparation.
