Best Engagement Letter Software for Accountants 2026

When every new client needs a signed letter, compare engagement letter software that fills in the terms, sends them to sign and links to your billing.

Tax Genie is the best engagement letter software for accountants who want checked client answers to become a signed letter. It generates your engagement letter from the client’s form, signs it online and chases missing information automatically.

Proposal tools suit practices that need clients to choose a service package and authorise payments when they sign. For several documents prepared from existing client details, a document-pack tool can reduce preparation work. The choice turns on where your staff spend time before the letter goes out.

Top Engagement Letter Tools for Accountants

1. Tax Genie

Tax Genie ranks first for practices replacing a Word letter and a chain of emails with one client request. The request covers the people and entities involved, with identity checks and the engagement letter alongside the client’s form. Each person sees their own items.

Rules check the answers before AI reviews them for common mistakes. Tax Genie sends fixable issues back to the client and reopens the affected sections. That means your letter starts with corrected details, including the relevant company or trustee, without staff copying answers between documents.

Staff can change one client’s letter without changing the practice template. The client types or draws a signature online. Tax Genie keeps the signed version with who signed and when, and reminders chase outstanding items by email and SMS. Annual re-engagement uses details the practice already holds.

Compare the full cost of onboarding software: the subscription and its request allowance, SMS usage, signing costs and charges for identity or AML/CTF checks. Tax Genie is the most affordable option on the market on that full-cost basis. Its price includes generous usage, including identity and AML/CTF checks, while it saves significant time on chasing and entering information. Billing remains a separate practice step.

2. Ignition

Ignition is the strongest choice here for a proposal-led practice selling service packages. Staff choose services and fees, attach engagement terms and send the proposal for acceptance. Clients can choose between package options and supply payment details in the same signing journey.

Ignition ranks second because it connects the commercial agreement to billing. Its Client Groups feature supports one proposal and signing session for several entities while preserving separate entity records and invoices. Xero and QuickBooks connections support invoicing, and its Xero Practice Manager connection creates jobs from accepted proposals.

The deciding trade-off is how you want to build the engagement. Ignition puts the priced service offer first. Tax Genie puts checked client answers and the generated letter first. Ignition’s subscription inclusions and payment-processing terms both affect the cost, so treat proposal capacity and collection charges as separate budget items.

3. FuseDocs with FuseSign

FuseDocs with FuseSign suits a practice preparing engagement letters as part of larger client document packs. FuseDocs collates and formats the pack. The FuseSign connection sends it for signature and returns signed files to document management.

This combination ranks third for its document preparation job. A practice with corporate secretarial or annual reporting packs can use the same preparation approach for the engagement letter. Its Xero Practice Manager connection retrieves client contact, address and group information, so staff can use existing records in preparation.

Implementation depends on the packs and systems your practice uses. The subscription depends on users and the document types being automated, with implementation priced separately. Choose it when standardising packs is the problem. Allow a separate collection step when client information still needs correcting before those documents can be prepared.

4. Seamlss

Seamlss suits practices that want engagement letters signed inside an onboarding request. It also supports annual re-engagement and tracks professional clearance requests. Several letters can travel in one request without a separate per-signature charge.

Its published Xero Practice Manager connection proposes reviewed client updates and creates jobs. Completed documents can go to FYI, SuiteFiles or SharePoint, with other filing destinations available. This gives an XPM practice a route from client request to client records and filed documents.

Seamlss ranks fourth because Tax Genie combines this engagement journey with automatic rules and AI review of client answers. Seamlss plans set request and SMS allowances, while completed identity and AML checks incur separate charges. Include those checks in a cost comparison when they form part of each engagement.

5. Annature

Annature suits a practice that already produces its engagement letter and needs to send it for signature. Its envelope can include several documents and recipients. Staff track signing and can add SMS delivery to email reminders.

Annature also connects an existing Pinch Payments account to a signing envelope. The practice can request payment alongside the document and collect a payment method for later charges. Merchant fees apply, so the signing charge and payment-processing cost are different items.

It ranks fifth for engagement-letter preparation because the practice supplies the document and its terms. Annature solves the signature stage without changing how you build the letter. Its per-envelope signing model suits variable volumes, while identity verification and AML screening have their own charging arrangements.

6. TaxDome

TaxDome suits a practice wanting proposals and engagement letters inside a broader client portal and job-management system. Staff create proposal templates with engagement terms and service items. Connected payment providers let proposals carry invoices or request deposits.

Its organisers collect client answers through conditional questions and saved progress. The Australian organiser material includes prior-answer prefill, engagement letters and signatures. Separate account records and signatory permissions help staff choose who receives and signs each proposal.

TaxDome ranks sixth for practices looking mainly to replace engagement-letter admin, because the purchase includes a wider suite to adopt. Its Australian subscription is per seat with term choices. Payment-provider charges sit outside that subscription. Choose TaxDome when the practice also wants to move its portal, jobs and billing into the same suite.

The table separates preparing the letter from signing it and collecting the fee. Entity coverage describes the documented working approach, not a promise that a template supplies every clause an entity needs.

What Engagement Letter Software Does and Does Not Do

Engagement letter software fills a letter from client or proposal data, sends it for electronic signature and keeps the signed copy. The wider category includes tools that prepare the document and tools that sign a document you already have.

The source of the details changes the work your staff do. With a client-answer approach, the client supplies entity information before generation. With a staff-prepared template or proposal, staff enter or import the details and select the services. Either approach needs the correct client and signing authority.

In Tax Genie, a submitted form first receives rules-based checks for formats, register matches, missing documents and consistency between answers. Every TFN is removed before AI reviews the answers. Fixable issues return automatically to the client, and only those sections reopen before the corrected answers reach the practice.

Tax Genie then drafts the engagement letter from those answers. Staff can ask for changes to named form sections or adjust the letter for that client. Corrections record who changed what and when. Your practice chooses the appropriate signing person and sends the letter for Tax Genie’s online signature.

Software does not decide your professional terms. Under APES 305, covered members must document and communicate engagement terms. Before-start communication and written acceptance are preferable. A practice can set a before-work signing policy while applying the standard and its professional body’s requirements to the engagement.

Proposal Software Against Engagement Letter Software

Proposal software helps a client choose and accept a priced service package. Engagement letter software records the agreed work and responsibilities, even when there is no package choice.

Ignition proposal options let the client choose a package, sign the terms and supply payment information together. That suits fixed-fee advisory engagements where different service levels change what the client buys. A recurring bookkeeping package can use the same approach when the practice wants acceptance to start scheduled billing.

General business proposal software often starts with a sales presentation. A tax practice still needs to supply Australian tax-service scope clauses, identify the actual client entity and keep the agreement with the client’s tax file. A sales proposal template alone does not provide that accounting-specific content or handover.

For a compliance practice onboarding an individual or small entity with an agreed service, Tax Genie generates the letter from checked answers without making the client choose a package. Choose the proposal step when a service choice or payment authority forms part of acceptance. The Tax Genie and Ignition comparison develops that decision, while the fee-model guide covers how you set the practice’s fees.

Collecting Fees Upfront at Engagement

A signed engagement and a collected payment are separate events, even when the software presents them together. Ignition handles payment details and collection through its payments service. TaxDome requires a connected payment provider, and Annature uses Pinch Payments. Tax Genie handles the signed engagement letter with a separate billing step.

Your letter can make the first fee due on acceptance. Another arrangement takes a deposit and bills the balance on lodgement. Recurring services can use monthly payments. State the agreed trigger and what happens if the work changes or the client ends the engagement.

Fee arrangementWhat the client authorisesWhat staff record
First fee on acceptanceThe agreed first charge when the proposal is acceptedInvoice, service period and payment receipt
Deposit, then balance on lodgementAn initial amount and a separate balance triggerDeposit allocation, remaining fee and lodgement trigger
Monthly servicesRecurring charges for the stated services and billing periodStart date, frequency and how scope changes affect future charges

Tax Genie, FuseDocs with FuseSign and the Seamlss onboarding request need a separate billing step for the letter journey described here. Their signing or filing step does not collect your fee. Decide who raises the invoice and how the client reaches your payment provider.

A direct debit authority permits the agreed bank-account debits. A saved card or payment-platform authorisation permits charges within its terms. Signing the engagement letter alone is not permission for any amount at any time. Put the payment frequency and amount, or its calculation basis, beside the authority the client gives.

Assign someone to handle failed collections and cancellations. Your collection procedure needs a retry rule, a client notice and any agreed point at which work pauses. Keep cancellation of future debits separate from any unpaid fee already due.

Ignition documents automatic reconciliation of its collections with invoices in Xero or QuickBooks. Its payout is net of payment fees, while the invoice is marked paid and the fee recorded separately. A bank receipt alone can therefore be smaller than the agreed fee without leaving part of the invoice unpaid.

When you refund a fee, reconcile the refund and any retained processing charge separately. Match the gross fee, deductions and net receipt to the right invoice and entity. A payment reversal also needs its own invoice adjustment when the underlying professional fee changes.

QuickFee sits beside an engagement letter tool as a payment or fee-funding option. Its Australian accounting service lets the practice receive payment while the client repays through instalments. Its payment portal also supports card payments. The fee-funding client contract makes the borrower responsible for repayments and applicable finance charges. Keep those charges separate from your professional fee and the practice’s merchant arrangement.

Money paid before work is complete is not automatically client money. APES 310 turns on ownership and the practice’s present entitlement. A deposit held for the client, to which the practice has no present entitlement, can be client monies. A payment of a fee presently due to the practice has a different basis.

For covered members dealing with client monies, keep them separate from practice money and use an appropriate trust account or authorised client bank account. Apply the standard’s account, authority and record requirements before directing an online payment into an ordinary operating account. A payment gateway does not resolve that classification for you.

Time and Billing Software After the Letter is Signed

After signing, your time and billing software uses the agreed scope and fee to create the job, track work in progress and raise invoices. A signed letter needs a handover to that work, whether staff complete it or a documented connection does.

Xero now presents its practice-management product as Xero Partner Hub + Practice Management, formerly Xero Practice Manager. Vendor connections still commonly use the XPM name. MYOB’s AE and AO Practice Manager products have time and billing functions. Distinguish those from the broader MYOB Practice name when mapping your current setup.

Ignition publishes Xero, QuickBooks and MYOB Business invoicing connections, alongside XPM jobs and Karbon workflows. Tax Genie sends approved client details to your tax software, updates reviewed XPM records and creates jobs. Seamlss publishes reviewed XPM updates and jobs. Those client and job connections do not, by themselves, establish that every signed fee becomes an invoice.

FuseDocs retrieves XPM client and group details for preparing documents. Annature’s documented payment route here is Pinch Payments. TaxDome publishes QuickBooks Online and payment-provider connections alongside its own billing functions. Treat document filing, client-data retrieval and invoice synchronisation as different jobs when choosing a connection.

Record the signed scope, billing basis, responsible staff member and invoice trigger in the job. A client-data connection fills contact fields. A job connection starts the work. Invoice synchronisation moves the financial agreement into billing, so identify which of these your setup actually performs.

In a fictional company engagement, the letter covers an annual return and quarterly BAS work. The annual fee is due on acceptance, while the BAS work is billed quarterly. If the job receives only the company’s contact details, neither billing instruction reaches the person raising invoices.

Create separate service lines with their agreed triggers and link the signed letter to the job. The billing owner can then compare invoices and work in progress with what the client accepted. That prevents an agreed service disappearing into a year-end write-off because nobody transferred its billing instruction.

Clauses the Generated Letter Must Still Carry

A generated engagement letter needs the parties, agreed services and fee basis, with responsibilities written for that engagement. Keep these items in the practice template and adjust them when the client or service changes.

  • Identify the practice and each client entity, including the capacity of a trustee or other representative.
  • Describe included services and exclusions, the work period and expected outputs.
  • State the practice’s responsibilities and the client’s duty to provide complete, accurate information on time.
  • Set out fees and billing, including payment triggers and how additional work is agreed.
  • Include applicable outsourcing and cloud disclosures, document ownership and record arrangements.
  • Where a professional standards scheme applies, give the required limitation disclosure under the scheme’s rules.

The Tax Practitioners Board’s client-information guidance covers public-register access, complaints and general rights and responsibilities. Registered agents must give this information in writing, prominently and clearly. Give it upon engagement or re-engagement or when a client makes a relevant request.

Put register-search instructions and your complaints process, including the TPB route, in a labelled client-information section. Explain the agent’s obligations and the client’s responsibilities beside the service terms. A letter can work with a factsheet and website information.

The current Code Determination distinguishes current registration conditions or suspension from prescribed historical events. Disclose current conditions or suspension at an engagement inquiry. Tell existing clients not previously advised as soon as reasonably practicable after the event.

Prescribed historical events have different timing: disclosure at an engagement inquiry and, for an existing client not previously advised, within 30 days of the event. Apply the relevant event category and transitional rules. A template sent only after acceptance cannot satisfy an inquiry-stage disclosure.

Use the full accountant engagement letter guide for drafting detail and the APES 305 guide for the standard. The electronic signature guide compares the signing step separately.

Picking a Tool for Your Practice

Pick the tool that removes the work your practice repeats before or after signing. These situations make the deciding question concrete.

Practice situationRecommendationDeciding question
Proposal-led advisory practiceIgnitionMust the client choose a priced package and authorise collection when accepting?
Compliance-only tax practiceTax GenieMust checked client answers populate the letter and tax-software records?
Bookkeeping practice with recurring packagesIgnitionMust acceptance start agreed recurring billing for the selected services?
Practice with many trusts and companiesTax GenieMust one request collect the people and entities and turn corrected answers into signed letters?

FuseDocs with FuseSign fits when the harder job is assembling document packs from established records. Annature fits when your practice already prepares the letter and needs a signature stage. TaxDome fits when you also want a wider portal, jobs and billing suite.

For a practice still copying client details into Word, Tax Genie removes the repeated collection and preparation work. Keep billing in the practice’s chosen payment system.

Generating a Letter From Client Details

Tax Genie generates your engagement letter from the checked people and entity details in the client’s form. Your practice keeps its template, while the client supplies the details that change between engagements. Staff can prefill what they already know before sending the request.

Consider a fictional client group with a trading company and a trust with a corporate trustee. Staff send one request covering the relevant people and entities. Each person sees their own items, and the client supplies the entity details and supporting documents.

Tax Genie checks the form with rules, removes every TFN before AI review and sends fixable issues back to the client. If staff need a correction, they can reopen named sections. Staff changes keep a record of who changed what and when.

The corrected answers populate the engagement letter, so staff can identify the company and the trustee’s capacity without copying details out of emails. Your practice selects the services, fee basis and authorised signing person. Staff can adjust this client’s letter without changing the template used for other clients.

The client signs online by typing or drawing a signature. Tax Genie keeps the signed version with who signed and when, and reminders chase outstanding items. Approved client details then go to your tax software and reviewed XPM records, with jobs and document filing handled alongside them.
