Electronic Signature Software for Accountants 2026
Before a new client signs your engagement letter, pick the right tool. Compare Annature vs DocuSign, FuseSign and built-in signing on price and proof.

Annature is a practical choice of electronic signature software for accountants sending a few letters each month. Its pay-as-you-go model suits uneven demand. Choose FuseSign for complex client packs, or DocuSign Business Pro when you need a dedicated bulk-send feature.
Which Signing Tool Suits Which Practice
Choose the signing tool around the documents you send and the people who must sign them. A sole practitioner sending occasional engagement letters needs retrievable proof without paying for unused sender seats. A larger practice needs separate client packs, permission settings and a queue of unsigned declarations.
| Tool | Best fit | Trade-off that affects the choice |
|---|---|---|
| Annature | Occasional sending with local support | SMS and identity checks have separate charges |
| FuseSign | Australian accounting teams sending multi-entity packs | Signing credits count unique signers, so family groups consume more credits |
| DocuSign | Practices needing reusable templates, bulk distribution or eWitness | Bulk Send requires Business Pro, and integrations can need a tailored package |
| Adobe Acrobat Sign | Practices already working in Acrobat or needing enterprise signing settings | Desktop Acrobat signing and Sign Solutions have different capabilities and integration terms |
| TaxDome | Practices already using its client portal and document records | US knowledge-based authentication is for US clients, not an Australian identity check |
| FYI with a signing provider | Practices wanting signed documents filed back automatically | FYI connects to a separate signing account, so include both subscriptions in the decision |
Annature and FuseSign are Australian-built alternatives to DocuSign. Annature suits variable sending and Australian support. FuseSign suits accounting document bundles and connections to FYI, Xero Practice Manager and Australian tax-related tools. Adobe Acrobat Sign suits a practice whose document work already happens in Acrobat. These are useful alternatives by task, without assuming every practice uses the same tool.
If your problem starts before signing, Tax Genie combines client details, identity verification and an engagement letter signed online in one request. Each person sees their own items. It also checks Australian Business Numbers against the Australian Business Register and sends automatic email and SMS reminders about outstanding items. Those steps save time on onboarding and chasing.
Tax Genie generates the engagement letter from the client’s answers, records who signed and when and files completed documents to FYI or other supported document stores. Compare engagement letter software when you need help preparing the letter as well as collecting signatures. Annual tax declarations remain a separate document task.
Electronic and Digital Signatures
An electronic signature records a person’s agreement electronically. A client drawing their signature on an engagement letter and confirming acceptance is an electronic signature example. A digital signature uses a certificate and cryptography to help establish the signing record’s origin and detect later changes. Signing software can use both in the same document.
A visible signature image alone tells you little about who applied it. For an engagement letter, establish the signer’s authority and agreement to the method. For a client declaration, follow the ATO’s declaration requirements. For another ATO form, follow that form’s signing instructions and lodgement channel. A commercial signing certificate does not replace the credentials used to lodge through your tax software.
When a Free Option Fits
DocuSign’s free account lets you upload, sign and return your own documents, then retrieve them from the account. Recipients also sign documents sent through DocuSign for free. Collecting other people’s signatures requires a paid sending plan or a separate premium trial.
Free self-signing suits a document you must sign yourself. It does not give your practice a free sending allowance for client engagement letters. Keep the signed document on the client file with the signing evidence available for that document. An email invitation establishes access to an email address. Your onboarding identity checks still establish who the client is.
For client signature requests, choose a sending plan whose allowance covers your expected volume. Compare the included signer checks and audit records alongside team administration and bulk sending. A practice sending hundreds of declarations also needs a way to file each client’s proof. A recipient’s free signing access does not pay for the practice’s sending account.
Getting the Engagement Letter Signed at Onboarding
Send each engagement letter to the people authorised to accept that entity’s engagement. Verify the person’s identity and authority before choosing the signature fields. A director, trustee and individual taxpayer can be the same person while signing in different capacities.
| Client | Who accepts the engagement |
|---|---|
| Individual | The individual, or a representative whose authority covers the engagement |
| Spouses engaged together | Both spouses for their respective services and permissions |
| Company | Authorised company signers, using the chosen execution method |
| Trust with individual trustees | The trustees with authority under the deed |
| Trust with a corporate trustee | Authorised signers for the trustee company, identified in that capacity |
| Partnership | Partners or an authorised partner under the partnership’s authority arrangements |
| SMSF | Individual trustees or authorised signers for its corporate trustee, as the document requires |
| Deceased estate | The executor or administrator with authority for the estate |
For company execution under section 127, the usual combinations are two directors, or a director and company secretary. A proprietary company’s sole director can sign under that section when also sole secretary or when the company has no secretary. An ordinary engagement can also use another valid authority route. Do not require every director’s signature on every contract.
Verify your client’s identity establishes the person and representative authority before the signing invitation goes out. An SMS code supports the connection to the mobile number you verified. It does not prove that a recipient is a director or that a trustee has power to bind the trust.
A fictional family group has two individual taxpayers, a trading company and a trust with a corporate trustee. Prepare a distinct engagement for each client entity. Name the company in its trading capacity separately from the trustee company acting for the trust. One family member accepting one vague group letter leaves the other engagements unresolved.
A single electronic pack can carry separate letters when each letter identifies its client and authorised signers. Give each recipient access only to the documents they need. FuseSign has document permissions and signing-order groups. Annature also has signing order. Use those settings where the contract needs one party to sign before another.
For an engagement letter, the signing steps are straightforward:
- Review what the engagement letter must contain and identify the signer’s capacity.
- Send the invitation to the verified contact, with the agreed access check.
- Have the client read the complete letter and confirm their signature.
- Confirm every required signature is present, then file the signed letter with the audit record against that client.
The audit record needs to identify the document version and each signing event. Keep any authentication results with it. Once your practice completes onboarding, the signing account can handle yearly declarations and other documents. A signed engagement letter does not authorise a future return’s contents.
Signed Client Declarations Before You Lodge
Obtain the client’s signed declaration before lodging their tax return or activity statement. Under section 388-65 of the Taxation Administration Act, it confirms authority to lodge and that the information provided is true and correct.
The ATO’s client-declaration guidance permits email, fax or paper declarations. Electronic delivery needs consent and a method that identifies the person and their approval. Use a declaration tied to the actual return or statement. A general engagement acceptance cannot cover every later lodgement.
Keep the return or statement with the declaration so the client can see what they authorise. If you change material information after signature, obtain approval for the changed version before lodging. Bulk distribution means sending many separate requests. It does not mean one declaration authorising every client’s return.
The client generally retains the declaration or a copy for five years after making it, subject to a shorter period determined by the Commissioner. That statutory retention obligation belongs to the client. Your practice also has the TPB’s proper client record requirements: retain relevant service records for at least five years after completing the service.
Electronic records can satisfy the practice’s record requirements when they remain accessible and retrievable. File the signed declaration, the approved return version and the signing evidence together. Give the client a copy and preserve the record independently of the sending account’s subscription or automatic deletion settings.
| Tool | Sending declarations and following up |
|---|---|
| Annature | Put the declaration and return in a client-specific envelope. Reusable templates and automatic reminders support repeat sending |
| FuseSign | Build separate client bundles or send through a supported document connector. Set each recipient’s document access and monitor overdue bundles |
| DocuSign | Bulk Send distributes unique copies from a template and recipient list in Business Pro. Automatic email reminders follow the envelope’s reminder settings, which can come from the account or template |
| Adobe Acrobat Sign | Send in bulk creates independent agreements with separate audit reports. Acrobat Pro’s desktop route limits each batch to 50 recipients. Set the reminder frequency and track unsigned agreements or send reminders from Manage |
| TaxDome | Request signatures on client PDFs and track status in the client record. Set automatic email reminders or resend a pending request manually. Reminders stop when all signers finish or the configured count is reached. Download the completed document and certificate |
| FYI | Send client-specific packs through a connected signing provider and receive signed documents back into FYI. The provider owns signature reminders. Use FYI’s Web Link to open the provider’s Manage screen for unsigned requests and follow-up |
A batch containing different tax returns needs each return matched to its own client request. A generic bulk template with the same attachment for everyone is suitable only when that attachment belongs to everyone. For FuseSign documents originating in BGL, BGL handles reminders. The integration’s follow-up settings can differ from sending directly in FuseSign.
Annature vs DocuSign and the Other Tools
Annature’s per-envelope charging suits irregular sending, while DocuSign combines sender subscriptions with envelope allowances and paid features. FuseSign charges through signing credits for unique signers. Compare your actual client packs, including SMS use and document-system connections, to understand the cost difference.
| Capability | Annature | FuseSign | DocuSign | Adobe Acrobat Sign |
|---|---|---|---|---|
| Signer checks | Password or two-factor access, with separate identity services | Recipient verification, including mobile-code options | Authentication options depend on account features | Methods range from email access to stronger verification settings |
| Signing evidence | Completion certificate and event log | Audit trail and digital certificate on documents | Certificate of Completion | Agreement audit report |
| Repeat documents | Reusable document templates | Bundle templates and saved signing fields | Reusable templates | Reusable templates |
| High-volume sending | Repeat envelopes or supported connected sending | Client-specific bundles and document connectors | Dedicated Bulk Send in Business Pro | Send in bulk, with limits by product |
| FYI connection | Sending and automatic return of signed documents | Sending and automatic return of signed documents | Tailored commercial package required | Sign Solutions with API access required |
| Xero relationship | Documented XPM client selection and prefill | Documented XPM contact import | Use the relevant document-system connection | Xero Tax’s provided signing is distinct from an owned Sign account |
| Witness feature | Electronic witnessing listed | Do not treat ordinary recipients as a witness service | eWitness in eligible plans | Use a legally appropriate witness arrangement and separate attestation |
Xero now calls its former Xero Practice Manager product Xero Partner Hub plus Practice Management. Signing providers still label several connections XPM. Contact import is a different capability from sending a tax return or filing the signed declaration back automatically.
FYI’s current DocuSign instructions require a tailored commercial package. Its Adobe instructions require Acrobat Sign Solutions with API access and exclude the Adobe signing supplied within Xero Tax. A starter DocuSign account or ordinary Acrobat subscription therefore cannot be assumed to cover those FYI connections.
FuseSign includes standard integrations from Business Lite upwards, while private API access belongs to Enterprise arrangements. Its documented connections include FYI, XPM contact import and BGL document sending. Read how FuseDocs and FuseSign compare with Tax Genie when you also need document preparation or onboarding.
For a sole practitioner, choose Annature when you need occasional standalone signatures. For a peak-season team with complex entity packs, choose FuseSign through the document tools you already use. Choose DocuSign Business Pro when distributing many copies of a reusable document is the deciding task. Adobe fits a practice with Acrobat-based document work or Sign Solutions integration needs.
Deeds, Witnessing and Documents That Need More
Electronic signing permission depends on the document and the law governing it. Section 10 of the Electronic Transactions Act requires identification and intention, appropriate reliability or proof the method worked, and the applicable recipient consent or government technology requirements. Exemptions and other specific laws remain relevant.
Company signing has its own technology-neutral provisions in the Corporations Act. A company can execute an electronic deed through section 127 without a witness when the applicable signing requirements are met. Individual deed witnessing follows state or territory law.
Trust deeds, variations and some SMSF documents need document-specific execution checks. Identify the governing jurisdiction and whether an individual or company signs. If the deed’s rules are unclear, send the client to their lawyer before sending an electronic invitation. An ordinary signing audit trail does not establish witness attendance or a valid attestation.
A NSW Deed Witnessing Example
For an individual signing a deed governed by NSW law, the Conveyancing Act permits an electronic deed signed and attested electronically. The witness must be a person who is not a party to the deed. Choose an adult independent witness who meets any extra requirement of the instrument.
NSW’s remote witnessing guidance permits real-time audio-visual observation. The witness must see the signing, sign the same document or an exact copy and be reasonably satisfied it is the document observed. They must endorse the method and compliance with section 14G of the NSW Electronic Transactions Act.
Using DocuSign eWitness, configure a witness requirement for the signer. The signer supplies the witness’s details, and the witness receives their own signing step. Arrange the observation separately through permitted attendance or a real-time video call. Have the witness complete the attestation after observing the signer, including their details and the required NSW endorsement.
DocuSign’s completion certificate records signing and witness information, including timestamps and witness details. Retain that certificate with the deed, its attestation and any counterpart pages needed to preserve every signature. The certificate supports the record. It does not itself conduct the video call or supply the statutory endorsement.
Use this NSW arrangement only for documents within that jurisdiction’s permission. If the governing jurisdiction or particular document excludes electronic or remote witnessing, use paper signing with a physically present eligible witness. Have the client’s lawyer settle the correct execution method before choosing software for the deed.
