Best CRM for Accountants: From Enquiry to Engagement
When a prospect asks an accountant for a quote, your CRM must carry them to a signed engagement. Compare accounting firm CRM software on that job.

Pipedrive is the best CRM for accountants who need a clear sales pipeline and reliable quote follow-up. Keep every prospect’s next action visible, then hand the accepted work to onboarding. A practice taking only a few referrals can often use its existing contacts module.
Best CRM Software for Accountants, by Practice
Choose accounting firm CRM software by the work your team loses track of between an enquiry and a signed engagement. A separate sales CRM earns its place when several staff share prospects or advertising creates enquiries that need organised follow-up.
| Tool | Best fit | Tracks stages | Sends proposals | Keeps signed engagement | New-client handover |
|---|---|---|---|---|---|
| Pipedrive | A growing practice with a business development lead | Custom deal stages and activities | Smart Docs, included in Premium and Ultimate or added to Lite and Growth | Smart Docs signing and documents attached to records | Mapped import or a configured connector to the chosen destination |
| HubSpot | A practice running paid advertising and tracking enquiries through to conversion | Deal pipelines | Quotes with the relevant Revenue Hub access | Signed quote records or an attached engagement document | Published Karbon contact integration, with separate field mapping |
| Zoho CRM | A multi-office practice with an administrator maintaining its sales rules | Deal stages and custom fields | Quote documents and Zoho Sign connection | Zoho Sign documents and status linked to CRM records | Mapped import or a configured connection |
| Karbon | A practice already managing clients and jobs in Karbon | Work status and engagement status | Karbon Engagements | Digital signing within Engagements | Work created from sent or signed engagements in the same product |
| TaxDome | A practice wanting prospects, proposals and delivery in one system | Stage-based job pipelines | Proposals and engagement letters | Signed proposals in the client account | Pipeline automations continue into onboarding jobs |
A quote signature and an engagement letter signature can be the same event only when the signed document contains the agreed scope and engagement terms. Filing a PDF against a contact does not prove the prospect has signed it. Compare the letter and signature job separately in our engagement letter software guide.
Pipedrive
Pipedrive is our first choice for a practice that needs a dedicated sales pipeline without moving its client work into a new practice management product. Custom stages show which quotes need a reply. Activities give each deal an owner and next action.
The practical trade-off is the subscription you need for the whole job. Pipedrive’s Growth plan adds full email synchronisation, while Smart Docs is included in Premium and Ultimate or available as an add-on. Smart Docs sends proposals and collects signatures. Budget for the features your staff use, including the document step.
For a business development lead, this separates selling from client delivery. Put the accepted scope and a link to the signed letter in the handover. A connection to a billing ledger is not automatically a connection to the practice’s client database.
HubSpot
HubSpot suits a practice running paid advertising because its marketing and sales tools share CRM records. The principal can follow an enquiry into a deal instead of judging an advertising campaign only by form completions. Sales staff track the resulting conversation and quote.
HubSpot’s quote e-signature guidance requires Revenue Hub Professional or Enterprise with the appropriate seat. That matters when a basic contact database grows into a proposal system. Include the required sales and quote access in the decision, rather than budgeting only for storing contacts.
Karbon publishes a HubSpot connection for companies and contacts. It is a useful handover route for a practice using those two products. The connection’s scope must match your intended handover: syncing a contact alone does not transfer every engagement term or create every client job.
Zoho CRM
Zoho CRM suits a multi-office practice that wants to set its own sales fields and rules, with someone responsible for maintaining them. Deal stages can separate a discovery call from a quote awaiting acceptance. Fields can record the office, service and referral source.
Zoho Sign has a documented connection to Zoho CRM for sending agreements and tracking document status. It requires the relevant CRM and Sign subscriptions, or Zoho One access. The connection gives staff a signature step beside the prospect record.
Choose Zoho when the configuration serves a real operating need. A sole practitioner taking a few referrals does not gain much from complex sales rules. For an Australian practice, the later onboarding step must still handle entity checks and agent nomination correctly.
Karbon
Karbon is the best fit when the practice already uses it for client communication and work, and prospect follow-up is modest. Its client records and linked email keep staff working from the same conversation. A prospect can have an assigned follow-up without a separate sales database.
Karbon Engagements builds proposals and engagement letters with digital signatures. It can create or link work when an engagement is sent or signed. Keep acceptance rules clear so a work item created from a sent proposal does not mean the client has agreed.
A firm with a dedicated sales team can use a sales CRM beside Karbon. A small practice can often keep contact follow-up and the engagement inside Karbon. That avoids maintaining two versions of the same client’s contact details.
TaxDome
TaxDome suits a practice choosing one product for contact records, engagement documents and client work. Its pipelines move jobs through defined stages, with actions such as sending a proposal or requesting information. A prospect can continue into onboarding inside the same client account.
Proposals and engagement letters are included in TaxDome subscriptions. The practice can send them manually or through pipeline automation and retain the signed result. Account signatory settings decide which contact can sign.
This is a broader practice-management choice than buying a sales CRM. Use a separate enquiry pipeline so unfinished sales conversations do not mix with recurring client jobs. Australian entity information and agent nomination remain distinct tasks in the handover.
Accounting Firm CRM or Practice Management Contacts
A CRM manages the prospect’s decision to engage you. The client database in practice management software manages the person or entity whose work your practice delivers. They overlap in contact details, but the sales conversation and the tax job have different owners.
Your existing contacts module is enough when it records the referral, assigns a next action and shows outstanding quotes. For a sole practitioner taking a few referrals each month, adding another client list can mean more entry without better follow-up. Add a separate CRM when shared ownership, advertising attribution or quote volume makes that simple arrangement fail.
After acceptance, one staff member owns the checked handover into the client database. Use the client code as the single reference for each client record. Keep a separate reference for each entity when a client group contains several entities. Match against the existing record before creating another one.
| Field | CRM record | Client database after signing | Handover rule |
|---|---|---|---|
| Client code | Blank for a new prospect, or existing code for an added service | Authoritative client code | Write the confirmed code back to the CRM |
| Entity name | Name supplied during the sales conversation | Checked legal name and entity type | Confirm before creating the client record |
| Service scope | Services quoted and accepted, with quote version | Agreed scope from the signed engagement | Carry exclusions and frequency with the services |
| Contact permissions | Reply preference and separately recorded marketing permission | Authority to receive client information and relevant preferences | Do not treat marketing permission as authority to act |
A published integration has a named source, destination and supported records. A manual import uses an exported file that staff map and check. Neither label proves that every field above transfers. Karbon’s published HubSpot contact connection is an integration example. A cleaned CSV uploaded into another client database is a manual import.
Let the client database own checked entity details after onboarding. Let the CRM own sales history and referral attribution. Uncontrolled editing in both places makes the lists drift apart.
Pipeline Stages From Enquiry to Signed Engagement
Use a pipeline that records what the prospect has actually done, with one next action and owner at each stage. The final stages can show onboarding status without storing the documents collected there.
| Stage | What to record | Next action |
|---|---|---|
| Enquiry | Name, contact details, referral source, service of interest and enquiry date | Assign the discovery call |
| Discovery call | Entity type, services discussed, suitability and capacity decision | Prepare the agreed scope |
| Fee quote | Quote version, fee basis, exclusions, sent date and follow-up date | Ask for the decision |
| Quote accepted | Accepted version and acceptance record | Start onboarding and collect checked details |
| Engagement letter signed | Signed version, signer and signature record | Confirm remaining onboarding requirements |
| Onboarding in progress | Responsible staff member and outstanding-status summary | Complete client checks and setup |
| Active client | Client code and confirmed handover | Start the agreed client work |
Quote acceptance is the handover point for document collection. The sales CRM can retain a status, but identity checks and detailed entity records belong in the controlled onboarding request. The engagement letter and any required ATO agent nomination must finish before the practice treats the client as ready for the relevant work. Follow the accounting onboarding checklist for that sequence.
For a fictional example, a mortgage broker refers a sole trader for bookkeeping and business tax services. Staff record the source and discuss the service frequency. They issue a quote with its inclusions and fee basis. Once the sole trader accepts, staff send the onboarding invitation and stop the CRM’s quote reminders.
Tax Genie carries that accepted work into a checked client record. Staff send one form request covering the entity details, identity check and engagement letter. Rules and AI review the answers, and automatic email and SMS reminders chase missing items. Staff generate the engagement letter from the client’s answers and send it for online signing.
The Australian steps stay with the request: ABN checks against the Australian Business Register, protected TFN handling and guidance for agent nomination. Approved details go into your tax software and Xero Practice Manager after review. Staff can send the invitation when the quote is accepted without relying on an automatic connection from their CRM.
Tax Genie also captures enquiries through a branded link and tracks lead source, owner, status and next action. For a practice whose main problem is taking referrals into checked onboarding, that can reduce the need for a separate sales CRM. Compare the onboarding software choices when chasing forms is the problem you need to solve.
Client Data a CRM Should Not Hold
Keep TFNs, identity documents and bank details out of the sales CRM. Sales staff need enough information to understand and quote the work. They do not need the documents used to verify identity or prepare a return.
The OAIC’s TFN guidance explains the Privacy (Tax File Number) Rule 2015. A recipient must not collect, record, use or disclose a TFN unless the relevant taxation, superannuation or personal assistance law permits it. A TFN must not become a general client identifier.
Use your authorised tax record for a TFN collected for the permitted purpose. Keep the sales record free of TFNs, including copied emails and attachments. An email connection can otherwise bring a client’s tax documents into the CRM without anyone deliberately creating a sensitive field.
A prospect record can hold their name, contact details, referral source, services of interest and quoted fee. These are still personal information. Limit access to staff doing the sales job and collect only what that job needs.
Before enabling a CRM, record its account hosting region and what the contract permits vendor staff and subcontractors to access. HubSpot and Pipedrive publish Australian hosting options, and Zoho identifies the Australian region through its account domain. The actual account location matters more than the vendor’s Australian website.
Zoho’s security guidance permits restricted employee access for technical support. Read equivalent access and processing terms for whichever CRM you adopt, including connected signing and email services. A local data centre alone does not explain every overseas access path.
For a practice covered by the Australian Privacy Principles, APP 8 generally requires reasonable steps before disclosing personal information to an overseas recipient. The practice can remain accountable for the recipient’s handling. Some tightly controlled cloud arrangements are a use instead of a disclosure, so assess the contract and actual access arrangements. Explain overseas handling accurately in the client disclosure.
CRM Features That Matter in a Small Practice
Email logging and a next-action reminder usually earn their place before sales forecasting. The CRM must help staff reply and move an actual prospect towards an engagement.
- Log the relevant email conversation so another staff member can pick it up.
- Record the referral source so you know which relationships bring signed clients.
- Assign a follow-up task with an owner and due date for every open quote.
- Reuse proposal templates with reviewed scope and fee wording.
- Connect the accepted client to practice management, or make the manual handover clear.
Appointment scheduling is useful when discovery calls consume staff time. Keep it to the booking step, with the selected service recorded against the enquiry. Lead scoring, elaborate forecasts and several pipelines can wait until the practice has enough prospects to use them.
Calculate the annual CRM cost for the staff who need access, including required signing or automation add-ons. Divide that cost by the number of new clients you expect to sign each year. This gives a software cost per signed client without assuming every enquiry converts. Compare it with the contribution from those engagements and the time staff spend maintaining the CRM.
Separate customer engagement reminders from client automation after sign-up. The CRM sends the discovery-call reminder and quote follow-up. Once the quote is accepted, the onboarding tool sends requests for missing answers, ID checks and signatures. Assign each request to one system and stop its reminder when the requested action finishes.
Decide the fee basis before putting it into a template. Our accounting firm pricing guide covers that decision. For the jobs that begin after onboarding, compare accounting workflow software.
Setting Up a CRM in a Week
Set up the CRM around current prospects and one working enquiry-to-engagement path. A week is a practical target for a simple setup, not a promise for a multi-office migration.
- On the first day, collect current open enquiries and appoint one owner for the list. Exclude TFNs, ID documents and bank details before import.
- On the second day, clean duplicates using email, entity name and existing client code. Keep distinct people and entities separate. Archive stale enquiries under the practice’s retention policy instead of importing every old client.
- On the third day, create the seven pipeline stages. Add fields for service, entity type, referral source and the next action. Record an enquiry as prospective until the practice accepts it.
- On the fourth day, connect the website enquiry form. Send a fictional enquiry through it and confirm it creates one record, assigns an owner and starts the right follow-up.
- On the fifth day, link the shared inbox using the provider’s supported arrangement. Limit email access to the staff who need it. Check that sensitive attachments stay out of the sales record.
- Before go-live, move the fictional enquiry through quote acceptance and the handover. Confirm the service and entity tags produce the same scope in the quote and engagement letter. Check that only one system sends each reminder.
Import the cleaned prospects only after that handover works. Your first live review must show every open quote’s owner and next action, plus a client code for each completed onboarding.
