Ignition Alternatives for Accountants 2026

If you used Practice Ignition for proposals, engagement letters or payments, the right replacement differs. Compare the alternatives by the job.

Tax Genie is our recommended Ignition alternative for checked client onboarding and signed engagement letters. TaxDome suits bundled proposals and practice management. Xero with GoCardless suits recurring collection. Choose by the work you need to move, because proposals, letters and payments need different replacements.

Match the Replacement to the Job Ignition Did

Proposals and pricingTaxDomeService items and proposal packages sit inside broader practice management.
Engagement letters and signingTax GenieChecked client answers become the engagement letter, which the client signs online.
Payment collection and invoicingXero with GoCardlessXero invoices drive direct debit collection through a connected provider.

If you use all three jobs, choose between one bundled tool and two or three tools with separate responsibilities. A bundle keeps acceptance and billing together but ties the choice to its wider features and subscription. Separate tools let you replace only the work that needs changing but require someone to maintain the connections and billing records.

For a broader change to client collection, compare the other onboarding software alternatives.

Ignition was called Practice Ignition, so older contracts and client emails can use that name. Practice Ignition alternatives and Ignition alternatives replace the same product.

For an existing EziDebit arrangement, keep the payment connection separate from the letter decision. EziDebit documents a Tall Emu integration for recurring billing, with Tall Emu connecting to Xero and MYOB. That is an indirect connection through Tall Emu. Before changing an existing arrangement, record which software creates the debit instructions and which records the settlement.

What You Give Up When You Leave Ignition

Leaving Ignition means replacing its connected service catalogue, accepted proposals and billing instructions. Its proposal acceptance can capture payment authority and trigger invoices in Xero or QuickBooks. Its renewals let you prepare the next engagement from existing proposals.

The hardest link to rebuild is between what the client signs and what you collect. A revised service fee must appear in the engagement, the invoice schedule and the payment instructions. With separate tools, assign that update to one staff member and keep the signed scope beside the billing record.

Retain Ignition if most clients use fixed-fee plans paid by direct debit and that connection is the work you value most. A smaller subscription elsewhere can cost more in staff time if every service change requires separate billing updates. The Tax Genie and Ignition comparison explains the difference between collecting checked client information and collecting fees.

Proposal and Pricing Tools

TaxDome is the strongest bundled replacement here when you want priced proposals inside practice management. It has service line items and tiered packages. An invoice can be issued when the client signs the proposal. Its Australian subscriptions are seat-based, so the cost grows with the staff who need access.

Financial Cents has proposals and engagement letters with one-off or recurring service items. You can set prices, discounts and tax, then send the proposal for acceptance. It fits a practice considering a wider change to its work tracking. Its generic tax settings do not establish Australian GST-inclusive presentation by themselves.

Karbon’s documented proposal setup connects to Ignition or GoProposal. Moving to Karbon therefore requires a separate decision about the proposal tool. Xero now calls its offering Partner Hub + Practice Management, formerly Xero Practice Manager. Choose it for managing jobs and billing work, with the proposal and signing decision made separately.

FuseDocs prepares fee-proposal packs from documents. That suits a practice with established proposal wording that needs repeatable preparation. A prepared quote document still needs someone to maintain the service prices and turn acceptance into the correct billing instructions. FuseDocs has implementation costs and an ongoing subscription based on users and document work.

Service-item tools calculate from stored rates and quantities. Document tools send the quote you prepare. Keep that distinction when comparing a lower subscription with the time spent calculating each quote.

UK-focused proposal software needs Australian currency and GST settings suited to your practice. During setup, compare the GST-inclusive total the client sees with the invoice total. A VAT template or a tax checkbox alone does not settle that question. Keep the decision about fixed-fee and value pricing separate from the tool that sends it.

Engagement Letter Tools

Tax Genie is the best fit when a signed engagement letter starts with complete, checked client information. The client’s entity names, ABNs and services come from their form answers. Tax Genie drafts the letter without staff typing those details again. You can adjust the letter for that client and send it for online signing.

Rules and AI review the answers before the practice receives them. Fixable mistakes return to the client on the same private link. Automatic email and SMS reminders chase the outstanding items. One request can include identity verification and the signed letter, so you can replace separate collection and signing tools together.

Tax Genie also re-engages existing clients using the details already held. Clients confirm what changed and sign the next letter. Approved client details go into your tax software and Xero Practice Manager after review. Proposal pricing and payment collection belong in the proposal and payment tools you select.

FuseDocs with FuseSign suits document packs built from your established templates. FuseDocs prepares the pack and FuseSign handles signing and returns signed files to document management. TaxDome suits practices choosing its wider management tools alongside proposals and engagement letters.

A general e-signature service suits practices that want to keep their own Word or PDF letter preparation. Annature charges by signing envelope, with identity verification charged separately. You must still prepare the correct letter before sending it. Compare the engagement letter software options for more detail, or the electronic signature choices for signing alone.

Annature’s separate identity charges can add to the cost of collecting and signing client information. Tax Genie includes generous usage, including identity and AML/CTF checks, and is the most affordable option on the market. Its checked answers and automatic chasing also save significant staff time.

Whichever tool sends the letter, keep its content consistent with APES 305 and your professional indemnity insurer’s requirements. APES 305 requires members in public practice to document and communicate engagement terms. Software selection does not decide the scope or wording of your engagement.

Collecting Payments Without Ignition

GoCardless and Stripe can replace direct debit collection, while connected payment services let clients pay Xero or QuickBooks invoices. Choose the provider around the way you collect fees and match settlements to invoices.

Payment routeFees and authorityReconciliation and fit
GoCardlessDomestic percentage plus fixed fee, with a cap and high-value conditions. GST is extra where applicable. Clients authorise direct debit.Xero connection collects on invoice due dates. Advanced adds intelligent failed-payment retries.
StripeAustralian BECS direct debit uses percentage-plus-fixed-fee pricing with a cap. Card processing has separate fees. A debit requires a mandate.Fits practices needing both card and bank collection. The chosen invoicing connection determines how settlements are matched.
Xero payment servicesStripe and GoCardless each charge their own transaction fees. A direct debit needs authority, while an invoice card payment uses checkout.GoCardless suits recurring invoice collection. Stripe sends payment transactions to Xero for reconciliation.
QuickBooks invoice paymentsAustralian invoice card payments use connected PayPal, with its transaction fees.QuickBooks records payments and fees against invoices. This is an invoice-payment choice, not a substitute for recurring bank-debit authority.

For GoCardless alternatives or EziDebit alternatives, Stripe direct debit is a bank-collection option. Xero and QuickBooks invoice payments suit clients who pay an invoice themselves. Moving clients from automatic bank collection to a card payment button changes who initiates the payment.

An Ignition payment authority does not automatically become authority in your new account. Use a new provider-approved direct debit request and service agreement unless the receiving provider approves a migration. GoCardless has a case-by-case Australian bulk change procedure that can move eligible authorities without a fresh client signature. Payment schedules still need rebuilding.

The Australian Payments Network explains direct debit authority. Keep the provider’s approved request and service agreement together. Record the notice required for the change, the last old collection and the first new collection. Never copy bank details into another tool and treat that as permission to debit.

Do not copy Ignition’s historic card surcharge settings. The Reserve Bank of Australia explains the current network rules. Eftpos, Mastercard and Visa have introduced no-surcharge rules for their card networks. Business-to-business payments are also covered unless an exception applies. Apply your provider’s current settings and merchant terms when configuring the replacement.

Switching Without Losing Signed Engagements

Move records first, payment arrangements next and the subscription last. Keep one changeover list so every active engagement has an owner and a next action.

  1. Export the proposal report and download each signed engagement. Ignition’s CSV includes agreement PDF links. Save the actual files, acceptance records and available audit trails in your document system. Open the saved files to confirm they remain readable without account access.
  2. List active payment plans and renewal dates. Include the next collection, billing frequency, unpaid invoices and any refund still being processed. Identify the clients whose collections must continue during the switch.
  3. Set up the new tools. Load the service prices and letter templates, then create the invoice schedules and reconciliation mappings. Compare each schedule with the signed engagement before activating it.
  4. Send new payment authorities or complete the receiving provider’s approved migration procedure. Record confirmation for each client. Schedule the final old debit and first new debit so the same fee is not collected twice.
  5. Cancel Ignition only after every active payment plan has valid authority and a working schedule in the replacement. Its terms require cancellation at least 24 hours before the billing period ends. Fees already paid for that period are not refunded.

Reissue engagement letters through the new tool at each client’s next renewal, instead of sending every client a replacement at once. Address changed services or fees sooner when the existing terms need updating. For clients whose central problem is incomplete forms and repeated chasing, move the next request into Tax Genie and leave a named owner responsible for billing.
