How to Update ABN Details as a Client’s Tax Agent

Found a stale address or new officeholder at onboarding? Change the client’s ABN details as their agent and learn which changes the ABR won’t accept.

To update ABN details for your client, use the Australian Business Register’s Tax professional’s services with the client’s authority on file. Most accepted online changes take effect immediately. A different entity needs its own ABN.

Updating a Client’s ABN Details as Their Agent

A registered agent updates the client’s ABN record through the ABR’s agent service after confirming the change and their authority to act. Your myID must have the practice’s access through Relationship Authorisation Manager (RAM). The client must already be linked to you in ATO online services.

The ABR’s agent guidance requires an update within 28 days of becoming aware of a change. The ABN holder retains that responsibility when you make the update for them.

For a business-address change, have the client’s written confirmation and evidence of the move ready. Record when the change took effect and when the client became aware of it.

  1. Enter Tax professional’s services from the ABR’s agent guidance and sign in with myID. Select the correct client and ABN.
  2. Open the client’s ABN record for updating. In the address section, enter the business’s physical street address. Keep the postal address separate.
  3. Review any additional business locations and the contact information. Remove obsolete details only after the client confirms the replacement.
  4. Read the declaration, accept it and submit the update. Resolve any displayed error before treating the change as lodged.
  5. Save the accepted update’s confirmation with the client’s instructions. Reopen the record and check that the new address appears against the intended ABN.

A practice address or post office box can be a postal address. The main business address must identify where the business operates. Keep the previous details, evidence and effective date in the client file so another staff member can explain the change.

Details You Can Change on the ABR

The ABR record holds business and postal addresses, contact details, business activities, associates and authorised contacts. Review the email used for ABR notices as well as the client’s telephone number. An associate’s role and a contact’s permission are separate facts.

Main Business Activity

Change the main activity when the work that produces the business’s main income changes. Open the business-activity section, describe the actual work and choose the closest matching category. Review the resulting ANZSIC description before submitting the declaration.

The ATO’s business industry code tool helps identify the code used on relevant tax returns. The tax-return code is derived from ANZSIC, so compare descriptions instead of assuming both fields use an identical code.

A wrong activity can put a tax return in the wrong industry category and make an ATO benchmark comparison misleading. Review GST separately if the business’s activities have changed. An activity-code amendment does not itself register or cancel GST. Tell the client to describe the changed work to their insurer as well, because their cover must address what they actually do.

Associates and Authorised Contacts

For an eligible associate change, open Associates, remove the person who has ceased that role and add the replacement in the correct capacity. Review the details before accepting the declaration. Partner membership changes need the separate assessment below because the ABR does not let you add a new partner online.

The ABR’s associate requirements distinguish people from organisations. For an individual, prepare their name, date of birth and position, plus their TFN or residential address. For an organisation, prepare its legal name and applicable registration identifier, plus its TFN or address and formation date. Collect these through the practice’s secure channel.

In a fictional example, the same trust replaces its individual trustee with a company trustee under a valid appointment. Remove the former trustee’s association and record the company in the trustee role, using the company’s identifiers. Update authorised contacts where the appointment changes who can act. Keep the appointment evidence with the trust deed. A trustee replacement alone does not mean the company’s ABN replaces the trust’s ABN.

Changes the ABR Will Not Take

An ABN update cannot turn one entity into another or change the legal name of an ASIC-registered company. If a sole trader transfers the business to a company, the company applies for its own ABN. Use the ABN application guide for that separate registration.

Correct company names, registered-office details and company officeholder records through ASIC. The ABR confirms that company legal-name changes made by ASIC update the ABR. Check the ABR’s business address, associates and contacts after other ASIC changes instead of assuming every field transfers. The Form 484 guide covers the company-change job.

Business-name details are also managed through ASIC. Updating the ABR’s business address does not complete a business-name address change. A sole trader’s legal-name correction goes through the ATO.

Do not reuse an existing ABN for a newly created trust or a different partnership. Establish whether the original entity continues before amending its record. The ABR’s entity-change guidance identifies limited cases that can retain an ABN. An entity-type error needs ATO review and supporting evidence, rather than an online edit.

If the old entity has stopped carrying on its enterprise, assess the separate ABN cancellation steps.

ABN Update Steps for Each Entity Type

Use the same agent update route for ordinary detail changes, but confirm the person authorising you and whether the entity still exists.

EntityAuthority to recordUpdate and common error
Sole traderThe individual carrying on the businessConfirm the current business location and activity. Keep their postal address separate from the operating address.
PartnershipA partner with authority to instruct you for the partnershipCheck current partners and the partnership agreement first. A departed partner can signal a different entity, rather than a contact correction.
TrustThe trustee, acting for the trustCheck the deed and trustee appointment. Record a corporate trustee in its trustee capacity, without replacing the trust’s ABN with the company’s.
CompanyA director authorised to instruct you for the companyReconcile company records with ASIC, then update the ABR details that need changing. The registered office can differ from the operating address.

For a corporate trustee, obtain instructions from a person authorised to act for that company. Record the company’s capacity as trustee of the particular trust. A beneficiary’s request alone does not establish authority to amend the trust’s record.

When Partnership Membership Changes

A partner joining or leaving can create a new partnership that needs a new ABN. A qualifying reconstituted general-law partnership can retain the existing ABN under ATO partnership registration policy.

That treatment requires a continuing partner and an agreed express or implied continuity clause. Substantially all assets must remain, with the enterprise and client base substantially unchanged. The business name must remain unchanged too.

Review the agreement and the facts of the change before deciding which treatment applies. If the business winds up or the continuity conditions fail, handle the new partnership’s registration separately. For a continuing partnership, contact the ATO about recording the membership change. Do not try to add the incoming partner through the ABR’s online associate screen.

Changes to Look for at Onboarding

Compare the client’s form answers with the relevant ABN record and list each mismatch before using the details in your work. The ABN and TFN checking guide covers the check that identifies the discrepancy.

Look for old business or postal addresses, departed associates and an activity description that no longer matches the work. Review GST status when the client’s answers suggest the registration needs attention. A GST mismatch needs its own registration assessment, even if an address update is straightforward.

Ask the authorised client contact to confirm the corrections in writing. A short message can say:

Please confirm the business’s current operating address and postal address, including when each changed.

Please also confirm the current partners, trustees or directors. Describe the work that now produces the business’s main income.

We’ll compare your answers with the ABR record and confirm which changes you authorise us to make. Please send any supporting documents through our secure channel.

Record the reply and the agreed changes in the engagement file. Assign the register update to a staff member and leave it open until the accepted record matches the instructions.

Tax Genie checks register matches and consistency between answers before AI reviews the form for common client mistakes. Specific sections can reopen for the client to correct. Staff corrections record who changed what and when. Keep the form correction and register update as separate tasks: the authorised agent still changes the ABR record.

When the Update Does Not Show

First reopen the client’s ABR record and check whether the accepted change appears there. Online changes through Tax professional’s services take effect immediately. ABN Lookup displays public information from the ABR, while associates and contact permissions need checking in the authorised record.

If the ABR shows the new detail but ABN Lookup still shows the old public detail, save both results and the update confirmation. Check the public result again. If the mismatch persists, contact the ABR with the ABN and the affected field. ABN Lookup cannot amend the underlying registration.

If the client is absent from the agent service, confirm that you selected the correct practice access and that the ATO client link exists. Written client authority and an online client link are separate prerequisites. Fix the missing link before trying the update again.

When the field cannot be changed online, check which agency owns it. Send a company legal-name correction to ASIC or a sole trader legal-name correction to the ATO. For an ABR record error or an eligible update the service will not accept, use the ABR’s phone or paper-form route. Retain the error message and evidence of the correct detail so the enquiry identifies the exact correction needed.
