Delete a DocuSign Account: Keep Client Records

Before you delete a DocuSign account, keep signed client records and audit evidence. Distinguish account closure from cancelling your sending plan.

To delete a DocuSign account, preserve your signed client records, resolve open signing requests and have the authorised administrator close the account. Cancelling the paid subscription is a separate choice that can leave completed documents accessible in a Free account.

Cancel a Subscription or Delete an Account

Choose the result you need before changing the practice’s account. Stopping new sends is an operational decision. It leaves the subscription running until you cancel it or change its renewal arrangements.

Stopping automatic renewal prevents the next renewal under the applicable terms. A scheduled cancellation can take effect at the end of the subscription term. It does not erase an existing commitment or settle an outstanding invoice.

A downgrade to Free ends paid sending under the confirmed plan change. DocuSign’s plan guidance says completed documents remain accessible, while future sending is restricted. Record the effective change and the resulting account status.

Permanent closure removes account access. DocuSign warns that you lose access to envelope history, saved signatures and completed-document downloads after closure. Keep the documents elsewhere before choosing that outcome.

A practice principal or authorised manager must approve the business decision. The account administrator carries out the plan change. DocuSign’s closure guidance also requires ownership of the email address on file, or direct approval from that email owner.

A recipient-only Free account has no paid subscription to cancel. Closing that account is separate from closing the practice’s sending account. Confirm the account identifier and account role before proceeding, especially when one email address accesses several accounts.

Secure the Practice’s Signing Records

Complete the client-file check before removing sender access. An envelope is the DocuSign package containing the documents and signing request. Inventory envelopes across the practice’s senders, including records another staff member owns.

  1. List completed and open envelopes. Record the client entity, envelope identifier, document purpose, sender and current status.
  2. Download each completed signed document. Include signed engagement letters, client declarations and any attachments needed to understand them.
  3. Download the Certificate of Completion for each completed envelope. DocuSign’s help describes this as a separate PDF download from the envelope details. Check for it separately if a combined PDF contains only the signed documents.
  4. File the documents and signing evidence against the correct entity and engagement. Preserve the original downloaded files and the envelope identifier used to match them.
  5. Ask another authorised staff member to retrieve both files from the client file. Open them outside DocuSign and confirm that every page is readable.
  6. Assign an owner and next action to every unresolved signing request. Keep the sending account available until that work has a recorded outcome.

For an open request, decide whether the client can complete the existing envelope before closure. If the letter needs correction or replacement, use the supported sender action and tell the client which request remains valid. Record the old envelope’s outcome and the replacement request. An unsigned draft does not prove the client accepted the engagement or authorised lodgment. The DocuSign guide for accountants covers sending and recovering a signature request.

Apply the Practice’s Retention Duties

A vendor’s account setting does not determine how long you must keep an engagement record. APES 305 requires members in public practice to document and communicate engagement terms. Preserve the final letter and evidence of the client’s acceptance.

For non-assurance work, APES 320 requires policies for safe custody and retrievable engagement documents. Retention must meet the practice’s needs and applicable law. It does not impose one universal retention period for every signed document.

The Australian Taxation Office (ATO) says clients must retain declarations or copies for up to five years, depending on their circumstances. It recommends that agents also keep a copy. Separately, the Tax Practitioners Board’s client-record rules require practice records for at least five years after the tax agent service is complete. Apply each obligation to its own record and starting event.

Example Closure Checklist

This fictional example covers a company and a trust with a corporate trustee. It records entity roles without using client details.

Keep the retention rule and file location in your document register. The document management guide covers organising records so another staff member can find them.

End the Paid Sending Subscription

Use the purchase channel shown on the invoice. A web cancellation does not cancel a separate Apple or Google Play subscription.

For a plan bought online from DocuSign, its published cancellation procedure follows these steps.

  1. Sign in to the correct account as its administrator.
  2. Open Admin, then Plan and Billing. Some accounts use the label Subscription and Billing.
  3. Open Manage Subscription and select the cancellation option available for that plan.
  4. Complete the cancellation questions and review the resulting plan, effective timing and any refund information presented.
  5. Confirm the change. Save its confirmation and the resulting subscription status.

Check whether the account now shows a scheduled change or a completed downgrade. Record whether automatic renewal is off, when paid sending ends and whether a commitment or outstanding charge remains. Treat a refund as confirmed only when the vendor records one for your account.

For an Apple or Google Play purchase, the authorised store subscriber must cancel through that store’s subscription management. Save the store confirmation and verify the subscription’s end of access. Uninstalling the signing app does not cancel its subscription.

For a sales-managed or other purchase arrangement, use the account’s contract and purchasing contact. Ask the DocuSign account team or seller to confirm the cancellation notice, effective end and remaining billing obligations in writing. Legacy and Developer plans have separate vendor instructions.

If Manage Subscription is unavailable, first check administrator access and the purchase channel. Then check for a pending plan change. Escalate an unresolved control to DocuSign Support before making another request that could conflict with it.

Compare the replacement method’s allowances and separate charges in the e-signature cost guide before stopping the method your staff currently use.

Delete the DocuSign Account

Close the account only after its administrator has the practice’s approval and the client-file checklist is complete. A request to delete personal information and an account closure can have different outcomes. Permanent closure does not prove that every vendor-held record has been erased.

DocuSign’s published web procedure for supported accounts uses the following sequence.

  1. Sign in as the account administrator for the approved account.
  2. Select Admin, then Plan and Billing under ACCOUNT.
  3. Open Manage Subscription, then Switch Plan.
  4. Select Close Account at the bottom of the page.
  5. Read the closure information and confirm Close Account.
  6. Retain the closure confirmation, account identifier and support reference with the practice’s approval.

If the controls are absent, use DocuSign Support for the account’s plan-specific closure request. A recipient-only account without administration controls also needs the vendor’s supported account-closure route. Include evidence of account ownership or the email owner’s approval when requested.

DocuSign confirms loss of document and history access after closure. Obtain written confirmation of the closure outcome and final billing status before marking the account closed. If the practice also requests data erasure, retain the vendor’s response about retained records and the applicable reason. Do not promise clients that account closure destroys all copies or removes documents held by other parties.

Keep the Client File Usable After Closure

After sender access ends, repeat the retrieval check from the practice’s own document store. Another authorised staff member must be able to open the signed documents and their completion evidence without relying on a DocuSign account or email link.

Record the staff member responsible for the changeover. Keep the replacement sending method, approval, billing result and closure confirmation in the practice’s administration file. Each client file needs its own signed records and the outcome of any replaced request.

Remove the closed sending account from staff instructions and automatic sending arrangements. Notify affected clients about the replacement request when one exists. Reconcile the unresolved-envelope list so each item has a completed, cancelled or replaced outcome supported by a record.

If billing continues, compare the charge with the recorded cancellation timing and purchase channel. If files are missing, search the practice’s retained downloads and backups before relying on former account access.

Escalate unresolved permissions, billing or closure to DocuSign’s official support. Provide the account identifier and purchase channel. Include the confirmation reference. Keep confidential client documents out of the initial support request.

Mark closure complete when the account outcome and billing position are recorded, open requests have an owner’s final action and the client files pass retrieval.
