Xero Cloud Backup: Export Options 2026
Need a Xero cloud backup for client records? Check which transactions and documents you can export, what can be restored and who keeps the copies.

A Xero cloud backup starts with separate exports of client records and documents. Keep a readable archive for handover, and document a supported recovery route if you need to rebuild records. Xero’s service backups and your own archive have different purposes.
What a Xero Backup Must Preserve
Define the records your client needs before selecting an export or recovery service. Record the organisation, period covered and intended outcome: answering a historical query, handing records to another accountant or rebuilding accounting records.
Your archive checklist needs transactions, closing balances, customer and supplier contacts, reports and supporting documents. Add payroll, assets, inventory and other records the client actually uses. Include documents held outside Xero, such as signed agreements and source statements.
Xero Central says Xero backs up its service and recommends that users also keep their own copies. A practice-held archive gives authorised staff access to saved files. A third-party recovery service can recreate only the objects its documented method supports.
Write down which outcome each copy provides. A PDF financial statement supports later reading. It cannot recreate the transaction records behind its balances. Use the practice cloud backup guide to plan recovery of the folders that hold your exports.
Check Access and Client Ownership
Confirm your authority to export this client organisation and agree who will keep the resulting records. Match its legal entity and organisation details against the client file before downloading anything.
Xero’s Australian export guidance identifies the advisor role for most reports and separate payroll admin access for payroll reports. Its report-permissions table also describes standard users with reports permission. Check the permissions for every required area, including files and history.
Record the subscriber, authorised export operator, archive custodian and person who will receive the handover. Subscription administration and the client’s authority to release records are separate questions. Agree the access arrangement before changing the subscription or removing staff.
Store the archive in an encrypted practice folder with individual staff access. Assign a second authorised custodian so retrieval survives a staff departure. Keep a copy under the agreed client arrangement, and record who can grant access to a replacement accountant.
The record retention guide helps you decide what the practice must retain. Keep confidential records out of personal downloads folders and ordinary email attachments.
Export the Supported Client Records
Export each required record type separately, then compare the downloaded contents with your checklist. Xero Central documents different export routes for transactions, contacts and files.
- In Contacts, select All contacts. Open the three-dot menu and select Export. Keep the CSV unchanged, then check contact counts and the fields required for handover.
- In Sales, select Invoices and the relevant tab. Apply the required search filters, then click Export. The CSV contains transaction line items, so count distinct transactions as well as rows.
- In Purchases, select Bills and the relevant tab. Use Search or Filter as needed. Open the menu beside New Bill, select Export bills, check the selection and click Export.
- From Reporting, select All reports and open each required report. Set its period, basis and columns, then update the results. Export a readable PDF and a spreadsheet where available. Save the settings beside each file.
- Download the chart of accounts CSV and any required asset or inventory exports. Preserve account codes as text when opening working copies. Xero warns that Excel can remove leading zeros from account codes.
- Click the organisation name and select Files. Check both Inbox and Archive folders. Open each required file and use its download icon. Keep a document index linking the saved file to its transaction or purpose.
Xero caps an invoice or bill export at 500 transactions. Split larger exports into recorded batches, with checks for overlaps and missing records. Its invoice and bill CSV export excludes repeating templates.
Xero’s recommended report set includes Balance Sheet, Profit and Loss, Trial Balance and Account Transactions. Add receivable and payable detail, bank reconciliation and filed BAS reports where needed. Preserve foreign-currency columns when they affect the client’s records.
Payroll needs its own reports and permissions. Xero’s payroll export guidance says the downloaded report retains applied groups and filters. Check that your selection covers every required employee and pay period.
Keep these gaps separate in the archive index. Transaction CSVs need separate document downloads. Saved reports preserve selected results, while custom report settings need their own record. Identify any required History and Notes Activity separately instead of assuming transaction exports contain the audit history.
Establish What Can Be Restored
Choose a recovery route by the records it recreates and the records it leaves for manual work. Readable exports, supported imports and provider restoration produce different outcomes.
| Route | Documented output or supported records | Recovery consequence |
|---|---|---|
| Saved PDFs and spreadsheets | Report results and exported data | Staff can read and reconcile them, but these files do not recreate a whole organisation |
| Xero CSV imports | Contacts, chart of accounts and customer invoices through their specific import routes | Each record type needs its own preparation and review |
| Numerint | Accounting data workbook, raw data and attached files in a ZIP | Its FAQ describes a one-way export with no transaction or attachment restore |
| Ledgerscope Backup | Contacts, chart of accounts, transactions, balances, files, inventory, purchase orders and tracking | Its documented route restores supported records into a new Xero organisation in the same region |
Xero’s customer-invoice import brings invoices in as drafts. Account codes, tax settings and other referenced fields must match the destination. Existing invoice numbers are rejected. Payment history and document relationships need a separate recovery plan.
For contacts, Xero warns that changing the contact name in an update file creates a new contact. Chart imports also need review for balances, existing accounts and excluded rows. Treat these as controlled reconstruction steps, with an approved destination and untouched original exports.
Numerint’s FAQ excludes unattached file-library documents, reports, audit trails, payroll and projects from its archive coverage. Download those required records separately.
Ledgerscope’s limitations exclude budgets, branding themes, expense claims, reports, fixed assets, payroll, projects, quotes and bank statements. Its restore also requires organisation settings to be re-entered. Connected apps and bank feeds stay disconnected, multicurrency restoration is unsupported and some reconciliation states can differ.
For a handover, identify which records the receiving accountant can read immediately and which require reconstruction. List the excluded objects before relying on a provider restore. Preserve the original archive while any recovery work happens in the separately authorised destination.
Check the Archive Before Handover
Check completeness and retrieval before handing over the archive or changing access. Use a fictional company for a rehearsal, with invented transactions and documents kept separate from client records.
For example, define a fictional company with 12 sales invoices totalling $13,200 including GST. Its eight supplier bills total $4,400 including GST. Give each bill a separate supporting PDF, and record an expected closing bank balance of $8,800.
Those figures are comparison targets for the fictional records, not an assumption that sales less bills always equals the bank balance. Any opening balance, payment timing or other transaction must also appear in the reconciliation.
A rehearsal passes when the exported period matches the intended period, distinct transaction counts match and totals reconcile to the source reports. All eight supporting PDFs must open and match their indexed bills. A second authorised custodian must retrieve the archive without the original operator’s login.
| Symptom | Check | Action before relying on the archive |
|---|---|---|
| Missing invoices or bills | Selected tabs, search filters and the 500-transaction export limit | Correct the batch selection and reconcile distinct transaction counts |
| Missing document | Original attachment, Files Inbox and Archive, plus provider filter scope | Download the missing file separately or resolve the provider export error |
| Export option unavailable | Organisation identity and the operator’s current role | Have an authorised user arrange the required access |
| Import rejects a record | Xero’s import message, template headings, exact account or tax values and existing invoice numbers | Correct a working copy in the isolated destination and review the resulting records |
| Totals differ after restoration | Period, report basis, opening balances and provider exclusions | Escalate the difference to Xero support or the recovery provider before handover |
Record unresolved exceptions with the responsible staff member and required action. Keep existing access until the authorised handover arrangements cover those gaps.
Put Checked Client Details Before Export
Collect the client’s current entity details and requested documents before preparing the archive and handover instructions. Tax Genie guides the client through a form, checks answers with rules and AI, then returns specific fixes to the client.
Tax Genie gathers the corrected details and documents, generates the engagement letter and sends approved details to your tax software before the return starts. Its emails, exports and generated documents omit Tax File Numbers (TFNs).
That checked client information helps you identify the right entity and prepare the handover. Establish the Xero archive and recovery route separately. Tax Genie’s client onboarding and tax-software handover do not create a Xero accounting backup or restore connection.
Finish by assigning an archive custodian and recording the recovery method for each required record type. Hand over only when the receiving person can retrieve the agreed records and understands the outstanding exceptions.
