Xero Bookkeeping Course: Choose Staff Training

Compare a Xero bookkeeping course’s goals, prerequisites, fees and credentials. Check staff skills with fictional client records before handover.

A Xero bookkeeping course must teach the ledger work your staff member will perform. Choose software training for an experienced bookkeeper, broader assessed study for a beginner and targeted reconciliation practice for an existing user. Approve client work after a reviewed fictional exercise.

Match the Course to the Staff Member’s Client Work

Match Xero bookkeeping training to the learner’s knowledge and the client tasks you will assign. Software lessons teach where to enter information and how to use reports. Bookkeeping foundations teach why an entry belongs in an account and how it affects the financial records.

Staff memberTraining to chooseWork to demonstrate afterwards
Beginner with little bookkeeping experienceFoundations covering transaction analysis, double entry and Australian GST, followed by Xero practiceExplain entries from supporting records and identify when to ask a supervisor
Experienced bookkeeper new to XeroOfficial product learning or a practical Xero short courseSet up a fictional organisation and complete its reconciliation and reports
Existing Xero user with reconciliation gapsFocused lessons and corrective exercises on statement lines, matching and duplicate entriesExplain a difference and correct its cause without an unsupported balancing entry

Set observable goals before choosing the course. The learner must use the correct organisation settings, enter supported transactions and reconcile the bank balance. They must explain GST coding and produce reports that the reviewer can trace to records. Your practice remains responsible for deciding which tasks the learner can perform and who reviews them.

Check Prerequisites Before Enrolment

Check bookkeeping knowledge, Australian GST knowledge and practice access before enrolling the staff member. Ask the learner to explain a sample sale, expense and unpaid bill. Their answers show whether they need bookkeeping foundations alongside the software lessons.

A course described as beginner Xero training can start with software navigation while assuming accounting knowledge. Read its learning outcomes for transaction analysis and double entry if those are missing skills. For Australian client work, the course must cover the GST decisions relevant to the tasks assigned.

Self-paced online study fits staff who can reserve regular study time and repeat difficult lessons. Live instruction suits a learner who needs to ask questions as the trainer demonstrates a task. Assessed exercises give the supervisor evidence of the learner’s decisions and the corrections they make after feedback.

Confirm that the learner has their own permitted learning login and the course’s required software access. Xero documents a demo company containing fictional records. Use the Australian demo or the provider’s supplied practice environment. A client organisation carries real records and permissions, so keep training exercises in a separate environment.

For a qualification route, distinguish national entry rules from provider admission conditions. The FNS40222 qualification record lists no entry requirements. TAFE NSW separates ordinary enrolment from traineeship conditions and recommends suitable numeracy and digital skills. The specific study option determines the enrolment requirements and timetable.

Compare Official Xero Learning With Other Courses

Choose official Xero learning for product knowledge and a broader assessed course when the learner needs bookkeeping foundations or sustained tutor feedback.

Xero’s certification has three sequential levels. L1 Xero associate covers basic use, L2 Xero professional develops transaction and period-end knowledge, and L3 Xero specialist covers advanced functions. Xero lists self-paced learning, live webinars and assessment-only routes. Passing the assessment earns its badge and certificate. Certification lasts 12 months from achievement or renewal under Xero’s rules.

Applied Education’s Certificate in Xero Accounting is an online short course with videos, a digital manual and practical exercises. Its stated topics include setup, payables, receivables, sales, purchases, bank reconciliation and BAS work. It includes short online assessments and awards its completion certificate after the final online quiz. Students can submit Xero course-content questions through its online support form. Choose it for structured software practice, with the practice reviewer checking the resulting work.

EzyLearn’s Xero courses cover beginner through advanced software tasks, including reconciliation and reporting. Its complete-course options have different access terms. The complete package includes practical tasks, Knowledge Review assessments and downloadable workbooks, with support by phone, SMS, email and website chat. Choose the package containing the exercises and support the learner needs. A video-only purchase and a package with assessed exercises answer different training needs.

TAFE NSW’s Certificate IV in Accounting and Bookkeeping is a broader qualification route. It combines theory with practical work and learner support. The national qualification requires 13 units, including financial transactions, reports, computerised accounting, BAS and payroll. Choose an available study option that explicitly uses Xero if Xero practice is required. The qualification code alone does not prescribe that software.

CredentialWhat it establishesWhat the practice must assess separately
Xero certificationThe learner passed Xero’s assessment for the stated levelApplication to the practice’s Australian client records and review procedures
Provider completion certificateCompletion under that provider’s course requirementsWhether assessed work covered the learner’s assigned tasks
Nationally recognised qualificationCompetence in the units of the qualification issued by a registered training organisationXero-specific proficiency and readiness for the particular client

A short course’s use of the word certificate does not turn it into a Certificate IV. Match the issuer and qualification code to the credential you need. A course certificate also does not grant BAS agent registration.

Compare Fees, Free Options and What is Included

Xero certification is free, so it is a practical starting option when you need a free Xero bookkeeping course focused on product skills. Paid provider courses charge for their selected instruction and materials. Qualification fees depend on the study option and any applicable funding eligibility.

Compare the complete training purchase before approving payment. Include tuition, GST treatment, materials, required software access and any assessment or resit charges. Keep software subscription costs separate from course tuition. A payment plan also needs its total payable amount beside the instalment schedule.

Applied Education lists a paid accounting short course and larger bundles containing additional subjects. Choose the accounting course for bookkeeping practice unless the learner also needs the bundle’s other topics. EzyLearn separates course packages and access options. Compare the selected package’s workbooks, assessment and support with the learner’s goals.

Record the terms of the actual course offer before enrolment:

  • The total tuition in dollars and whether GST is included or exempt.
  • The exercises and materials supplied, including any separate workbook charge.
  • The feedback method and the support available when the learner studies.
  • The access period and what expires when that period ends.
  • The assessment attempts, resit charges and extension terms.
  • The required Xero environment and who supplies or pays for it.

For a provider or campus that supplies fees through an enquiry, request an itemised written offer for that study option. Compare its total with the same inclusions. A cheaper video library can cost the practice more review time if the learner still needs corrective exercises and feedback.

Complete the Course and Practise the Client Workflow

Complete the course’s modules and assessments, then use a fictional client exercise to show that the learner can perform the assigned bookkeeping work.

  1. Enrol in the eligible course and record its completion requirements. Reserve study time around the learner’s client duties.
  2. Obtain the required practice access. Use fictional records in the Australian demo or the provider’s designated environment, with no real client bank connection.
  3. Complete the lessons and assessments. Keep the feedback and explain each correction before moving to the final exercise.
  4. Confirm the fictional organisation’s settings and opening balances against the exercise brief. Record the GST registration, reporting basis and account mapping supplied for the exercise.
  5. Import the supplied fictional statement lines once. Check the import range and existing lines before importing again. Record invoices, bills and other transactions from the supporting documents.
  6. Reconcile the transactions and review GST coding. Produce the bank reconciliation, profit and loss, balance sheet and the reports needed to explain outstanding amounts.
  7. Give the reviewer the exercise brief, source records, reports and correction notes. Resolve the reviewer’s questions before requesting a first client assignment.

Xero’s demo company resets its added data after 28 days. Save the evidence needed for review before the reset. For a longer exercise, use the course’s designated learning environment and its access terms.

Use this small fictional exercise to make the acceptance result concrete.

Assume a GST-registered service business with an opening bank balance of $1,000, matched by opening equity. The period contains one paid taxable service sale of $1,100 and one paid business expense of $220. Both amounts include GST. Assume a valid supplier tax invoice and full entitlement to the expense credit.

The expected bank balance is $1,880: $1,000 + $1,100 - $220. The sale records $1,000 revenue and $100 GST. The expense records $200 expense and a $20 GST credit.

With no other transactions, the reports show $800 profit and $80 net GST payable. The balance sheet has $1,880 bank, $80 GST payable and $1,800 equity including profit.

The learner must explain every amount and show that each statement line appears once. Add an unpaid invoice or a deliberately duplicated statement line as a separate corrective task. The full Xero bookkeeping workflow supplies the procedure to use after training.

Confirm Competence and Plan the First Client Handover

Approve the first client assignment when the learner can explain their entries, reconcile the fictional records and produce reports traceable to source documents.

Evidence problemCorrective exerciseResult to review
Bank reconciliation differenceCompare statement lines with recorded transactions and identify the causeCorrected balance with an explanation of outstanding items
Unexplained GST codeTrace the transaction to its document and explain the GST treatmentSupported coding and corrected GST reports
Missing supporting recordMark the transaction for follow-up and explain what evidence is neededDocumented query and an entry supported by the supplied evidence
Duplicate statement lineFind the duplicate in the fictional file and apply the documented correctionEach statement transaction appears once and the reconciliation agrees

Record the completed course, credential and reviewed work in the staff training file. Record continuing professional development (CPD) separately. Xero states that its CPD/CPE points require learning content and a passed assessment. Assessment alone does not earn its points. Apply the learner’s own professional-body or Tax Practitioners Board requirements using the CPD evidence guide.

For the first real client, name the reviewer and the work the learner can perform. Record which matters require escalation, such as unclear GST treatment, unsupported balances or corrections to prior periods. Use the bookkeeping onboarding checklist to confirm the client records and agreed responsibilities before the assignment starts.

Give the learner a supervised first assignment with a review checkpoint before reports or lodgement information leave the practice. Course completion belongs in the training record. Approval for unsupervised work requires your practice’s separate decision.
