Tax Genie vs Jotform comes down to who maintains the tax checks. Choose Tax Genie for checked entity details and automatic chasing. Choose Jotform for simple individual-client forms when someone in your practice can build and maintain the rules.
When a Form Builder is Enough
Jotform fits a practice with mostly individual clients, straightforward questions and a staff member responsible for the form. You choose the fields and decide which answers open extra questions. That flexibility helps when the same builder also handles event registrations or general enquiries.
Choose Tax Genie when trusts, companies, partnerships and spouses make the questions harder to maintain. Tax Genie adapts the form to the people and entities involved. It checks ABN, ACN and TFN formats and confirms a valid ABN against the Australian Business Register.
Tax Genie also reviews submitted answers with rules and AI, sends fixable issues back to the client and generates the engagement letter for online signing. Approved details go into your tax software. Identity verification and AML/CTF checks sit inside onboarding, and Division 7A loan management handles schedules and agreements as a separate job.
| Decision | Jotform | Tax Genie |
|---|---|---|
| Questions for different entities | You build conditional questions | Guided questions follow the entity and related people |
| Australian tax-number checks | You configure fields and any additional checks | Format checks and ABN register matching are built in |
| Missing answers or documents | You configure the response and assign follow-up | Rules and AI find issues, then Tax Genie chases corrections |
| Engagement letter | You prepare the wording and document setup | Client answers fill the letter for online signing |
| Details in tax software | You arrange the connection or type details again | Approved details go into your tax software |

What Jotform is and Whether It is Free
Jotform is a general online form builder with templates, conditional questions and file uploads. It has signature and payment fields, plus tools for PDFs and organising answers in tables.
Its free Starter plan permits five forms, 100 completed forms each month and 100 MB of upload space. The account can retain 500 completed forms. Jotform branding remains on the free plan.
Those limits suit a small form workload, but uploaded ID files and trust deeds consume storage. Count every form using the account, including enquiries and repeat requests. A practice receiving more than 100 completed forms in a busy month needs a paid tier even if its yearly average is lower.
Jotform publishes HIPAA-enabled features on Gold and Enterprise. HIPAA is US health-information law. Selecting that feature does not establish that your Australian TFN collection meets its own rules.
Building a Tax Client Form Yourself
In Jotform, your practice writes the tax questions and the rules that connect them. Jotform’s conditional-logic documentation describes showing or hiding fields, making fields required and skipping pages according to answers.
A fictional trust-client example shows the work involved. The client selects trust, which opens a trust-details section and a trust-deed upload. A corporate-trustee answer then opens company details and director questions. An individual-trustee answer needs a different set of questions.
Your practice must decide which ABN and TFN belongs to each entity. It must also separate the trustee’s details from the trust’s details and identify who can sign. Add the required consent wording and ID uploads for the relevant people. If a spouse is another client, their answers need their own place in the form.
A length check or input pattern can reject an incorrectly shaped number. It does not confirm that the number belongs to the entity the client named. Your practice must configure or connect any register check and maintain the rules for missing or inconsistent answers.
When your requirements change, edit the affected fields and retest the branches. Include a trust with individual trustees, a corporate trustee and a client with several entities. Changing a required field can affect what appears in an email or generated PDF as well as what the client sees.
Use the new client form template to decide what to collect. If you prefer a different general form builder, the Typeform alternatives explain the separate choices.
After the Client Presses Submit
A completed Jotform form can appear in an inbox or table, with notifications and configured connections. Jotform also has signing, PDF and automation tools. Your practice decides how those pieces handle the tax work that follows.
With a basic form setup, a staff member reads the answers and compares them with the uploaded documents. They identify missing information, contact the client and keep track of the reply. They then prepare the engagement letter and enter approved details into the tax software.
An automation can move an answer into another field or system. The practice still has to decide whether that answer is ready to use. For example, a GST-registered business with no reporting frequency needs a correction before the details become the basis for the next job.
Tax Genie checks each submitted form with rules and AI. It returns fixable issues as a plain list and reopens only the affected sections on the same private link. Automatic email and SMS reminders chase outstanding items. This saves your practice significant time on onboarding and follow-up.
Tax Genie drafts the engagement letter from the corrected answers, keeps the online signature record and sends approved client details into your tax software. Staff see progress and ownership for each item, so a colleague can pick up the remaining work.
Tfns in a General Form Builder
The Privacy (Tax File Number) Rule 2015 applies to an individual’s TFN information regardless of which online form collects it. The OAIC’s TFN guidance explains lawful collection and the information a recipient must give the individual.
For authorised collection, state the law permitting it and why you need the TFN. Tell the client that refusing to provide it is not an offence and explain the consequences of refusal. Collect only necessary information and limit access to staff who need it. The TFN Rule protects individuals’ TFNs. Other taxation-law restrictions also apply to entity TFNs.
Jotform’s email settings allow submitted answers in the email body or subject. They also allow uploaded files and PDFs as attachments. Remove TFN fields from notification and client-confirmation templates, and exclude attachments that contain TFNs. Recheck these settings when the form changes.
Jotform documents an EU data option and Enterprise data-region choices that include Australia. Enterprise region selection is a separate purchase decision from choosing an ordinary paid form plan. A storage region also does not determine what your notification email contains.
Tax Genie encrypts TFNs before storage, keeps them hidden until a staff member reveals them and logs each reveal. It removes TFNs before AI review. TFNs never appear in exports, emails or generated documents. Read how Tax Genie handles TFNs for the collection and access details.
A Free Plan Against a Quote
The real cost of a Jotform form includes the subscription and the staff time spent building and maintaining it. Budget for reviewing completed forms and chasing corrections as well. A free plan can suit a small, simple workload while still leaving those staff jobs in place.
Jotform’s published tiers increase the account’s monthly capacity.
| Plan | Forms | Completed forms per month | Upload space |
|---|---|---|---|
| Starter | 5 | 100 | 100 MB |
| Bronze | 25 | 1,000 | 1 GB |
| Silver | 50 | 2,500 | 10 GB |
| Gold | 100 | 10,000 | 100 GB |
| Enterprise | Contract-specific | Contract-specific | Contract-specific |
Bronze is the first paid tier for a practice exceeding Starter’s limits. Silver adds capacity for larger volumes or heavier uploads. Gold adds higher limits and optional HIPAA-enabled features. Enterprise uses a tailored quote, including its multiuser and data-region requirements.
Jotform’s standard paid plans have monthly or annual billing. Its pricing FAQ says Australian customers are charged in US dollars, so budget for currency conversion and applicable tax. Annual billing changes the payment commitment without removing the work of maintaining your tax form.
