SMSF Electronic Service Address: Get and Check It
Find out what an SMSF electronic service address is, where to get or find its alias, and what to check before contributions or a rollover.

An SMSF electronic service address (ESA) is the messaging provider’s alias used for SuperStream data about contributions and rollovers. Obtain it through the fund’s administrator or a messaging provider, then confirm the fund’s registration and supported services before sharing it.
What an SMSF Electronic Service Address Does
An ESA directs electronic messages to the service that receives SuperStream information for a self-managed super fund (SMSF). The provider makes that information available to the trustees or administrator. The money travels separately to the fund’s bank account.
Keep the details separate when completing a fund instruction. An email address receives ordinary correspondence. The fund’s Australian Business Number (ABN) identifies the SMSF, while the BSB and account number identify where money goes. The ESA identifies the messaging destination. Entering a trustee’s email in the ESA field does not supply an ESA.
Non-related employer contributions need SuperStream data. Personal contributions and contributions to a related SMSF are excepted contributions under the Australian Taxation Office’s SuperStream guidance. That contribution exception does not exempt an ordinary cash rollover into or out of the fund.
Rollovers generally need SuperStream, with exceptions for transactions such as in-specie rollovers and foreign super fund transfers. An ESA can also receive messages about certain ATO payments and release authorities. Confirm support for the transaction the trustees expect, because contribution access alone does not establish rollover access.
Getting an Address for a New SMSF
Obtain the ESA once you have confirmed the fund’s identity and can register it with the chosen messaging service. Fund registration and the bank account belong in the wider SMSF establishment checklist.
- Confirm the fund’s legal name and ABN with the trustees. Identify who can authorise provider registration and who will receive or action messages.
- Ask the SMSF administrator whether its service includes an ESA. If the fund needs a separate service, use the ATO’s register of SMSF messaging providers to identify candidates.
- Select a service that accepts this fund and supports its expected transactions. Ask about contribution receipt, rollover messages and any required release-authority service. Confirm eligibility, charges and access for the trustees or practice.
- Register the fund using the provider’s instructions. Obtain its exact ESA alias and confirmation that the SMSF is registered and permitted to use it. A provider’s publicly listed alias alone does not register the fund.
- Record the provider, alias, supported services and evidence of activation. Have the trustees confirm the fund and bank details before supplying instructions to an employer or transferring fund.
Notify the ATO of the active ESA. For rollover preparation, the ATO’s rollover guidance identifies Online services for business, a registered agent or an authorised phone enquiry as update routes.
Before proceeding, you need a confirmed active service for this SMSF, access to its messages and consistent details in the fund’s records. Keep registration confirmation with the file instead of relying on a verbal statement that an address exists.
Finding an Existing Fund’s Address
Ask the trustees and previous administrator for the active ESA alias and the provider registration that supports it. Request recent contribution or rollover messages, registration correspondence and any service-closure notice.
Compare the candidate alias with the current provider’s record for the SMSF’s ABN. Confirm whether the fund remains registered, which services remain active and who has access. An alias in an old annual return is a useful lead, but it does not prove the service remains active.
A retail fund lookup cannot recover an SMSF’s provider registration. Even when several SMSFs use the same provider alias, each fund needs its own permitted access to the service.
If nobody can locate the alias, ask the likely provider to identify the registration using the trustees’ authority and fund details. The provider’s identity checks determine what it can release. If the service has ended or the fund cannot continue using it, register with an eligible replacement and obtain confirmation of activation.
Update the ATO record and notify each employer or transferring fund using the old details. Retain old messages and record the change, so a later enquiry can distinguish the former service from the replacement.
Checking an Alias Before Money Moves
Copy the ESA alias exactly from the provider’s confirmed record into the ESA field of the fund instruction. The ATO’s SMSF fund-detail instructions identify the alias as case sensitive. Preserve upper and lower case characters.
Use this check before sending the details.
- Match the fund’s legal name and ABN to the provider registration.
- Confirm the provider and active ESA alias, including permission to use the service.
- Confirm support for the expected contribution or rollover message.
- Check the BSB and account number against trustee-confirmed fund bank evidence and the relevant ATO record.
- Confirm that the trustees or administrator can retrieve and action messages.
In a hypothetical takeover, the old file contains a contribution-service alias while the trustees plan a rollover. The practice obtains the current provider’s confirmation of rollover support before sending the instruction. Copying the old alias without that check leaves the rollover service unresolved.
Record the confirmation date, evidence source, staff reviewer and trustee confirmation alongside the details. Keep the previous value when something changes. The SMSF audit checklist explains the wider annual records to retain.
When a Contribution or Rollover Stalls
Start with the rejection message and the fund details the sender actually used. A stalled payment does not establish that the ESA is the cause.
- Ask the employer or transferring fund for the failed instruction and error reference. Compare its ESA and fund ABN with your confirmed record. The sender must correct an old alias or wrongly entered ABN in its instruction.
- Ask the messaging provider to confirm the SMSF’s registration, active alias and support for that message type. The provider resolves access or service problems. An ended service requires replacement registration, followed by updated instructions.
- Ask the trustees or authorised agent to reconcile the fund’s ATO details. For a rollover, also check fund status, member details and the fund’s recorded bank account. The party holding an incorrect record must correct it.
- Once the details are corrected, agree with the sender and provider how to resume the transaction. Confirm the message outcome and reconcile the payment reference with the bank receipt before treating it as complete.
If money has arrived but its message cannot be found, give the provider the payment reference and sender’s transaction evidence. Avoid requesting another payment until the existing payment has been traced.
For a first rollover, return to the SMSF establishment checklist for the remaining readiness steps. Keep the error, correction and eventual message outcome in the fund file so the next staff member can see what happened.
