ChatGPT for Accountants: Tasks and Prompts 2026

Use ChatGPT for accounting drafts and client emails with clear prompts and source checks. Keep confidential client information out of general chat tools.

ChatGPT for accountants can turn approved facts into draft emails, plain-language explanations and review checklists. Start with public or fictional information, give a narrow instruction and check the result before using it with a client.

Accounting Tasks That Suit ChatGPT

Use ChatGPT for accounting writing when you can define the input and judge the output. Suitable tasks include rewriting an approved explanation for a business owner, shortening an internal procedure or organising public guidance into questions for review.

A prompt containing a public ATO passage has a different disclosure risk from one containing a client’s tax return. A copied email can identify the client through its attachments or unusual facts even after you remove their name. Build a fictional example when the real details are unnecessary.

For ChatGPT finance tasks, keep the question bounded. Ask it to explain the difference between profit and cash, show a formula or describe a change in figures you supply. Recalculate totals in a spreadsheet or calculator. Check whether the figures are GST-inclusive and whether they describe cash receipts or accounting revenue.

A financial explanation does not establish a tax treatment or an investment recommendation. Keep decisions about deductions, eligibility and investments with the qualified person responsible for that work. The Tax Practitioners Board’s AI guidance places responsibility for tax agent services with the practitioner.

Prompts for Practice Writing

Write a prompt that specifies the audience, source facts and required output. Use the following sequence for each task.

  1. Choose a task your practice permits and supply only information approved for that tool.
  2. State what the draft must achieve and which facts it must preserve.
  3. Ask for missing information to be listed separately, without invented answers.
  4. Review the output against the original facts before sending or saving it.

These editable examples use fictional situations. Change the requested documents or explanation to match your approved task. Keep client identifiers outside the prompt.

Draft a Client Email

Draft a short email from an Australian accounting practice asking a company client for its bank statements and equipment purchase invoices for the reporting period.
Use Australian English and a neutral tone.
Ask the client to upload the documents through the practice’s existing secure channel.
Do not invent a deadline, upload link, tax outcome or client name.
Return the email body, then list any facts the sender must supply before sending.

The expected result is a document request with a separate list of missing sending details. Check that your practice needs those documents and that the upload instruction matches the client’s real channel. Add the correct reporting period and recipient outside ChatGPT. Remove the separate review list before sending the email.

Explain an Accounting Concept

Explain to a small business owner why profit and cash can differ.
Use a fictional sale of $2,000 on credit, excluding GST, where the customer has not paid yet.
Assume the business uses accrual accounting and the sale meets its revenue recognition requirements.
Explain the effect on revenue, receivables and cash in fewer than 120 words.
Keep the example about bookkeeping. Do not add tax advice.

The explanation must show revenue and a receivable, with no cash receipt yet. Check the accounting basis and revenue recognition assumption. If your actual task uses cash accounting, change the prompt’s basis before relying on the explanation.

Build a Review Checklist

Create a review checklist for a draft request for rental property records.
The approved requirements are rental income statements, expense invoices, loan interest statements and details of private use.
Check whether the draft clearly requests each item and gives the client an approved secure upload method.
Do not decide whether an expense is deductible.
Return one checklist item for each requirement and a separate list of missing facts.

Expect a checklist tied to the supplied requirements. Confirm that it covers each requested record without converting a document request into a deduction decision. Add the property-specific questions your practice needs after reviewing the list.

If a draft invents a due date, remove it and tighten the instruction. If an explanation introduces an unsupported tax claim, return to the source text and restrict the task to that text. The finished draft must preserve the supplied facts and contain no invented commitment or unexplained calculation.

Check Tax and Accounting Answers

Trace every consequential rule in a ChatGPT answer to the primary source before applying it. An apparent citation is a starting point for your check.

  1. Open the cited ATO page, legislation or accounting standard yourself.
  2. Find the exact passage supporting the claim and read its conditions and exceptions.
  3. Confirm that the rule applies to the entity, transaction and reporting period you are handling.
  4. Recalculate the figures independently and record the source with your reviewed conclusion.

A link that does not load or a passage that does not support the claim leaves the answer unverified. Search the issuing body’s website for the actual rule. Exclude the claim until you can establish it.

Consider this invented erroneous-answer example. It illustrates a review problem and is not a result from a ChatGPT test.

Incorrect answer: A wholly taxable sale of $1,100 including GST contains $110 GST because GST is 10% of the total.

Correct answer: The GST component is $100: $1,100 divided by 11. The GST-exclusive value is $1,000, and 10% of that value is $100.

The official Moneysmart GST calculator covers taxable sales with 10% GST included in the price. Check that the whole sale is taxable before applying this calculation. GST-free, input-taxed or mixed supplies need the applicable treatment.

Client Information and Chat Settings

Approve the selected ChatGPT workspace and its data settings before staff enter client information. A business subscription and a permission to disclose client information answer different questions.

OpenAI’s business workspace security guidance says business data is not used to train its models by default. That statement does not mean the service stores nothing. OpenAI’s retention guidance distinguishes conversations from saved files, memories and connected application data. Deleting a conversation does not delete files saved separately in Library.

Record which workspace staff must use and confirm the following details for its tier and enabled features.

• Whether input and output can be used for training, including any sharing options the practice enables.
  • How long conversations and uploaded or generated files remain, and which deletion rules or exceptions apply.
  • Whether memory saves information separately from chats.
  • Which staff, administrators and connected services can access information.
  • Which contractual terms cover the practice’s use and where information is processed or stored.

Do not copy Enterprise retention promises into a Business or personal-account procedure. Check the actual workspace configuration against the practice’s requirements. Keep confidential client information out of general chat tools while that approval is absent.

Removing identifiers reduces what you disclose. It does not itself give permission to disclose the remaining facts about a client’s affairs. The TPB’s AI guidance requires client permission before third-party disclosure unless a legal duty permits it. Check the permission’s scope and your confidentiality obligations before using real client facts, even when they appear anonymous. Keep TFNs out of these prompts.

Tax Genie’s Built-In Form Review

Tax Genie handles AI-reviewed client onboarding within the client request. ChatGPT handles general drafting through the prompts you supply. For forms that return half finished, Tax Genie removes the separate job of copying answers into a chatbot and writing each follow-up.

Every submitted form receives rule-based checks for register matches, consistency and missing documents, followed by AI review for common client mistakes. Tax Genie removes every TFN before AI review. Fixable issues return to the client as a plain list, and only the affected sections reopen on the same private link.

Tax Genie sends automatic email and SMS reminders until the outstanding items arrive and records each change. The practice receives the corrected form. This is Tax Genie’s built-in review capability. It does not describe a ChatGPT integration.

Use ChatGPT for a bounded draft you can check against approved facts. Use Tax Genie when the task is checking client forms and returning fixes automatically. The AI guide for accounting practices helps you assign those tasks across your practice.
